We are looking for a Sample Coordinator/ Manager to keep track of every sample and product that moves across our company. The Sample Manager is responsible for the flow of samples in and out for each internal group (sales, manufacturing, marketing, photography). You will support and be a key part of the merchandising process.

This is a tough fast-paced job that requires being hands-on with merchandise and having excellent organizational skills and a great memory of where everything is. Be prepared to work with multiple teams having fast turn-around asks all day and not get frustrated. Be prepared to be on your feet all the time.

Responsibilities: This role will receive, organize, and maintain a physical and digital record for all samples and requests for those samples among the teams.

Some idea of the parts of the job.

• Manage internal tracking system for real-time status of samples, from order to delivery across any group and through final archiving. Keep track at all times
• Apply organizational tools for tracking and receipt - Create your own if you need to
• Check-in/out all physical samples out of the showroom. Create a system of checking in and checking out.
• Ship sample packets for customers.
• Provide status on all samples
• Create SKU/take pictures for each new sample
• Archive and classify all samples.
• Maintain archive, storage rooms.
• Owner of all samples and merchandise lines.
• Process daily package deliveries/ sample returns and put them back
• Communicate with the overseas office regarding estimated timelines of delivery.
• Track all master samples and predict the need for additional samples for key items.
• Communicate with major accounts on status and help in receiving or sending samples back.
• Assist executive team in coordination of merchandising and sample meetings and special projects as assigned.
• Help Photo team shoot all samples
• Assist to travel to trade shows/ NYC Showroom.
• Assist the logistics and warehouse team with large orders

A Typical Day looks like

• Manage the incoming and outgoing of all old, current and new upcoming samples
• Review samples that have come in from around the world. Put them in the appropriate place. - Enter brand new samples into the database. Tag the new ones that have been developed.
• Fill requests of teams on locations of specific samples for upcoming needs.
• IE: You will be asked 10 times a day for the location of items

• Able to handle stress by being calm and fast all day. Not getting upset with how others are affecting your work
• Hands-on, ready to roll up their sleeve and work every day use to working in a fast paced environment –and being on your feet a lot
• Detail oriented
• Able to manage time and be reliable every day including weekends if needed. Be punctual and show up on time. We are a 24/7 international business.
• Must live nearby
• Have a Valid Driver’s license
• If needed, able to lift up to 20 lb boxes of samples

Good for those who have worked in a Retail Sales background / on your feet managing product all day This is an office position. We are not a retail store.
