Executive Assistant SHM Architects - Dallas, TX Full-time, Contract ABOUT SHM Stocker Hoesterey Montenegro Architects, PLLC is a Dallas-based architecture and interior design firm with extensive experience in master planning, single-family residential, retail, commercial, and healthcare architecture. JOB SUMMARY Candidate will be working in a fast-paced, creative environment with passionate team members who are focused on quality and execution. The selected individual will be managing a variety of simultaneous projects, which requires the talent of being able to shift priorities independently and communicate effectively with all levels of the organization. ESSENTIAL FUNCTIONS The Executive Assistant provides executive support for the principals and administrative support for the marketing lead and the overall company. The executive assistant candidate is expected to exhibit a professional demeanor with a personal touch in making clients feel welcome and at ease. The Executive Assistant is also expected to be the gatekeeper for the partners and must clearly understand the goals and needs of the Principals to assist them daily with logistics, communications, schedules, emails, phone calls and meetings. As administrative support, the assistant is to support the marketing lead with various marketing related tasks as well as provide company administrative support whenever needed. Principal Support * Manage partners Outlook: e-mail, contacts and calendars/sync with office calendars. * Keep partners organized clear office of clutter as requested. * Write correspondence for partners including interoffice communications. * Travel arrangements for partners & staff as needed. * Enter partners time & expenses into Ajera weekly. * Provide each partner a daily follow-up report. * Prepare and assist in marketing presentations to prospective clients * Client relations: gifts etc. * Manage and prepare for any special event. Marketing/Administrative Support: * Prepare contracts/proposals, correspondence, reports and presentations * Responsible for tracking and documenting potential project pipeline * Maintain deadlines for Luxe and other publications * Manage image content for Marketing meetings, as directed by marketing Lead * Assist with social media campaigns on multiple platforms (research, content creation, execution, monitor and report). * Maintain/coordinate photography database and collateral, logistics of photo shoots, etc. * Coordinate SHM sign installation and pickup * Coordinate photo shoots, as directed by marketing lead * Back-up to the receptionist. Assist with the phone/reception including answering calls, taking messages, forwarding calls, greeting visitors, as appropriate. QUALIFICATIONS * High school diploma. * Minimum 3+ years office experience. * Team player with outstanding interpersonal skills. Strong verbal and written communication skills. * Proficient in Microsoft Office applications, especially Word, Excel, and Outlook. * Self-sufficient and self-motivated. Works with little supervision, identifies opportunities and executes on projects to improve organization and efficiency. * Excellent phone manners. * Attention to detail. * Professional attitude.
