The Project Assistant provides entry level support to the Project Management team. The Project Assistant works under the supervision and direction of the Project Lead and/or Project Manager. ESSENTIAL FUNCTIONS: Planning, monitoring, coordinating, and reviewing all aspects of assigned projects. Supports team leadership in accomplishing their duties and responsibilities. Identify issues/concerns/challenges with project and recommend viable solutions. Assist with support the review and analysis of budgets. Support the development and submission of proposals. Quote and order parts, materials and supplies, receipt and distribution of incoming inventory to meet schedule and cost requirements. Provide procurement support for multiple programs by tracking material purchases and making arrangements with the purchasing department to expedite materials when necessary. Prepare professional correspondence and interface with Government customer. At the direction of the Project Manager, assist/coordinates activities and groups to ensure timely delivery of project deliverables. Adheres to company policies and procedures in preparing, collecting, recording, and maintaining project data. Gather and submit weekly/monthly status reports and other contractual obligations to meet project performance requirements and customer expectations. Develops CDRL requirements, IPMRs, IMSs & Monthly Project Assessment reports as needed. Develops reports and correspondence as required to supervisor. Assists Program Manager, Project Coordinator and/or Lead with Excel Spreadsheets, Word documents and PowerPoint presentations. Responsible for general administrative duties, such as: filing, scanning, photocopying, typing, and data entry. Prepares meeting minutes for projects. Set-up and clean-up for events and meetings. Ability to maintain calendar and schedule appointments and/or conference rooms. May provide backup coverage for receptionist and front desk duties as required. Perform other duties as assigned. SUPERVISORY FUNCTIONS: This position has no supervisory responsibilities. Job Requirements KNOWLEDGE, SKILLS, & ABILITIES: Basic to Intermediate computer skills; specifically using Microsoft Office Suite; ability to learn additional computer skills or software programs. Basic knowledge of Microsoft Project is preferred Ability to enter data accurately into databases. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence Interpersonal skills to work effectively and cooperatively with all levels of management and staff. Will also routinely interact with external stakeholders such as customers, vendors, suppliers, shipping companies, etc. Must represent Yulista Aviation, Inc. in a professional manner at all times. Must be trustworthy will handle confidential information routinely Must possess effective oral and written communication skills to clearly communicate information to others. Ability to use general office equipment such as fax, phone, copier, scanner, printers, etc. Ability to follow a process. Professional customer service skills, including active listening, prompt service and follow-up. Strong problem-solving skills; ability to draw conclusions and make recommendations for problem resolution Ability to learn and understand corporate policies and procedures and how they relate to Yulista Aviation, Inc.s goals. Ability to perform basic mathematical computations. High degree of self-motivation and the ability to work independently Ability to multi-task. QUALIFICATIONS: High School Diploma or equivalent. Enrollment in a Bachelors Degree program in a related field. Strong analytical skills and ability to apply logic with good follow-through. Detail oriented with excellent communication skills, both verbal and written. Must be reliable and responsible with abilities to work independently. Strong academic performance preferred. Leadership abilities. Must have the ability to obtain and maintain a Government Security Clearance Must possess a GPA of at least 2.0, and be in good academic standing. Valid current Alaska Drivers License with good driving record preferred. Ability to pass a background and drug screening. Yulista Aviation, Inc. has a fast-paced multi-tasking office environment requiring a high degree of efficient and effective performance. At times, work is performed outside of the office at indoor and outdoor job sites. Adaptability regarding schedule and design changes, and occasional overtime for immediate field support or bid processing may be necessary. Physical Effort: Frequent standing, talking, lifting and carrying up to 10 lbs., hand/eye coordination, and fine manipulation. Visual Acuity: Frequent close/peripheral vision, and depth perception. Mental Effort: Frequent analytical thinking, verbal/written communication, handling stress and emotions, concentrating on tasks, remembering details, and making decisions. Environmental Factors: Frequently working alone.
