    POSITION OVERVIEW:

    The North America Services Business Support Specialist or Associate will perform a variety of operational and administrative tasks to support the North America Services business. A key focus is the billable services procurement / third party chargeable contracting process.

    Will work independently or at the direction of more senior members of the team and will interact as necessary with colleagues in the Services Market Units, Resource Management, Finance, Global Procurement, and Legal.

     

    Not all employees in this role will perform all duties as described below. The typical Business Support Specialist or Associate will perform one or more of the following:

    • Oversee the Services vendor Purchase Order (PO) request process from end-to-end. He/she is responsible to ensure that all process steps are completed per process documentation, and that all approvals are obtained per the Delegation of Authority (DOA).
    • Ensure that a complete and accurate vendor Statement of Work (SOW) or Amendment is executed for all projects where a vendor is utilized, using predefined templates.
    • Create / update Purchase Order or Work Order, ensuring that the resulting Order is accurate and matches the executed vendor SOW, as amended. Will utilize the SAP Enterprise Resource Planning system or Fieldglass Contingent and Service modules as appropriate.
    • Serve as the primary contact for vendors and SAP employees.
    • Create intercompany Work Orders utilizing Fieldglass.
    • Create Internal Orders and perform IO staffing list maintenance, ensuring that all approvals are obtained per the DOA, before updating the IO in the SAP Enterprise Resource Planning system, ISP.
    • Oversee the C-user request process from end-to-end, interacting directly with third party consultants, Services Account Executives, Project Managers, Resource Analysts, the External Workforce Center, and other colleagues. Is responsible to ensure that required approvals are obtained, that all required forms are completed properly.
    • Administer Deal Quality Reviews, a key step in our Deal Execution Processing, working in the SAP Harmony system and communicating with both Services Sales and Delivery colleagues as necessary.
    • Perform the conversion and upload of JSON files to the Harmony system.
    • Handles special projects or tasks as assigned. This can include training colleagues, testing of systems and processes related to the above duties and tasks, developing, or refining new processes or process improvements.

     

    EDUCATION & EXPERIENCE:

    • Bachelor’s Degree in finance, business, or accounting preferred
    •  2-6- years exp in Purchasing, Accounting, or other general Administrative experience preferred including itnernship expereince
    • Client server software applications experience
    • MS Excel & Word Proficiency
    • Strong attention to detail is a must
    • Ability to work independently and in a team environment
    • Ability to interact successfully with various levels of the organization and externally
    • Knowledge of SAP systems, SAP ERP, Fieldglass, Harmony etc a plus
