    Raytheon’s IIS Business Development organization is looking for a Proposal Coordinator Intern to support a variety of tasks in relation to proposal development, proposal production, and database administration.

    The Coordinator works with the capture manager, proposal manager and proposal analyst/coordination team to support proposal kick-offs, color team reviews and other meetings as assigned, tracks proposal progress, and ensures proposal deliverables comply with all proposal preparation instructions as specified in the Request For Proposal (RFP). The Coordinator supports deadlines for proposal production, including desktop publishing, graphics, and printing.

    KEY RESPONSIBILITIES FOR THE QUALIFIED CANDIDATE INCLUDE:

    Working in conjunction with Proposal Analyst/Coordination team:

    • Coordinates use of Proposal Development Centers (PDCs) with Capture Managers and proposal teams; works with facilities and IT to ensure all equipment and connectivity in PDC is operational.
    • Performs proposal RFP requirements “burst” or “shred” in support of Proposal Manager’s outline and compliance matrix.
    • Assists proposal teams in formatting, printing, and hanging “wall walk” documents in PDC as much as daily following FRFP release.
    • Attends and contributes to daily staff meetings; provides in-room support when needed.
    • Works with Security to obtain badge access to PDCs for assigned proposal team members.
    • Works with Security and IT to provide network access to independent consultants and business partners, as needed.
    • Supports Proposal Evaluation Lead in preparation for color team reviews.
    • Ensures all material for color reviews is provided to the publications team for desktop publishing and editing in a timely manner.
    • Ensures all proposal-related materials and deliverables follow Section L proposal preparation requirements.
    • Administers proposal team access to the Virtual Proposal Center (VPC) and manages permission levels inside the tool.
    • Ensures all required capture and proposal artifacts are uploaded and maintained in the VPC.
    • Works with Proposal Manager and Production Manager to develop production schedule for desktop publishers, editors, graphics and print shop.
    • Coordinates final production of all proposal deliverables, including assembly, book checks, packaging, and shipping.
    • Ensures format standards/templates comply with Section L RFP.
    • Develop and maintain proposal contact list and proposal production checklist.
    • Maintains appropriate supplies, snacks, and beverages for proposal rooms; orders meals for proposal reviews, as needed.
    • Ability to lift and move items weighing up to 30 pounds and transport them across worksite/between buildings as necessary.
    • Perform other tasks as assigned by the Capture and Proposal Managers.

    • This position requires the ability to access systems that contain information restricted to US Citizens based on certain Federal Government contractual requirements.

    DESIRED SKILLS

    • Previous experience coordinating proposals in a proposal environment.
    • Experience reading and analyzing RFPs.
    • Working knowledge of industry standard proposal management processes.
    • Experience using Virtual Proposal Center (VPC) tool or equivalent shared repository tool.
    • Experience coordinating with production teams and print services.
    • Experience using a commercial RFP shredding/management tool such as Meridian.
    • Editing and/or desktop publishing skills a plus.
    • Active Secret DoD or TS/SCI security clearance strongly desired.

    REQUIRED EDUCATION

    • Candidate must be enrolled in an accredited college or university, pursuing a degree in the area of business administration, communications, English or other liberal arts.
    • A GPA of 3.0+ in a 4.0 grade scale is desired.
    • You must have obtained senior status as of Summer 2018.
    • Senior status – must have completed 90 hours of college credits towards degree and obtained Senior status as of Summer 2018.
