General Description:
This position oversees Kilachand Honors College academic advising and supervises the College’s three professional advisors. Supervisory duties include advisor onboarding, training, and ongoing support for complex student issues and advisor-directed programming initiatives. This person creates and maintains advising materials and resources; communicates the College’s requirements, policies, and procedures to its student body; and, in leading the advising team, plans, executes, and evaluates the College’s advising practices within the context of University-wide student services. This position advises 15% of Kilachand undergraduates, supports admissions and recruitment, and maintains the College’s internal student records.
Essential Function 1: Advising Team Supervision and Support – 35%
Includes:
- Revising and expanding the onboarding and training experience for new Kilachand academic advisors, with focus on advisor retention.
- Supervising three academic advisors through weekly team meetings and regular one-on-one meetings.
- Providing guidance on each advisor’s focus area programming – development, management, and evaluation, through a lens of diversity, equity and inclusion.
- Addressing escalated student issues.
- Supervising the Kilachand academic standing review process.
- Ensuring advisors feel supported with opportunities for growth and networking.
- Serving on Advising Steering Committee.
Essential Function 2: Academic Advising – 25%
Includes:
- Managing advising caseload of 15% of Kilachand undergraduates and meeting with advisees four times per year. Working with students to determine academic plans, integrate programs, identify University resources, set goals, and build belonging and support networks.
- Planning group registration advising sessions.
- Managing first-year registration, Continuing Conversations, and the College’s integration into BU Orientation programming.
- Ensuring accurate Keystone Project pathway course registration for all juniors and seniors, in collaboration with Assistant Directors.
- Serving as Writing Placement liaison and on the Kilachand Academic Conduct Committee.
Essential Function 3: Admissions & Recruitment – 20%
Includes:
- Meeting prospective and admitted students and their families on campus and remotely.
- Facilitating design, scheduling, and staffing of Kilachand Virtual Information Sessions.
- Liaising with BU Admissions to plan prospective and admitted student programming for Fall, Winter, and Spring Visit Days, Open Houses, and Admitted Student Visits.
- Receiving admit and deposit lists and tracking students through matriculation.
- Executing Kilachand admission appeal review with BU Admissions and College leadership.
- Providing training on the College to BU Admissions staff as requested.
- Sitting on the Recruitment & Yield Committee as needed.
Essential Function 4: Advising Resources Management – 10%
Includes:
- Evaluating and revising existing advising resources such as: course description reference sheets; curriculum map; Hub & KHC integration planner; fall, spring, and new student registration webpages; and marketing communications.
- Creating new resources in collaboration with advisors, Assistant Director for Marketing, and Administrative Assistant.
Essential Function 5: Student Records & Systems Integration – 10%
Includes:
- Maintaining the College’s internal student master list, comprising data on enrollment, withdrawal, retention, advising assignments, registration audits, and alumni.
- Ensuring sustained accuracy of UIS advisor assignments.
- Processing course exceptions and certifying students to graduate.
- Acting as staff resource during BU’s transition to new SIS.
- Attending Undergraduate & Graduate Workflow - Campus Solutions Implementation Planning meetings.
