DESCRIPTION: The Accounts Payable Clerk reports to the Comptroller and is primarily responsible for the Accounts Payable and other business office functions. • Responsible for accounts payable, including the posting of requisitions, purchase orders and invoices. • Ensure all purchase orders and invoices follow the policies and procedures guidelines. • Responsible for the accurate and timely payment of all authorized billings incurred by the College to avoid and late fee or penalty and to ensure all available discounts are taken. • Administration of College credit cards to faculty and staff to ensure all persons traveling for college business have appropriate credit available to cover expenses. • Responsible for maintenance an accuracy of outstanding PO reports. • Reconciliation of all vendor statements in a timely and accurate manner. • Responsible for the preparation and filing of monthly sales tax reports. • Prepare and distribute 1099’s for all vendors • Production and analysis of cash requirements journals to meet College payment obligations. • Maintain complete and organized vendor files for all payment documentation. • Provide secretarial and clerical assistance as needed to the Comptroller. Duties may include: o Filing o Photocopying o Sort and distribute incoming mail and prepare outgoing mail for delivery o Typing and preparing various letters, documents and reports o Account reconciliations as assigned • Assist others as needed. • Assist in the registration, including the billing and collection of registration invoices. • Participate in the Business Office cross training program . • Assist in the preparation of PBC schedules for the annual external audit. • Unclaimed property annual reporting. • Maintain utility spreadsheet for website on a monthly basis. • Reconcile and post payroll entries. • Calculations of all bond payments. • Communicate an accurate image of the College as a means of informing others about opportunities at the College. • Work on standing and ad hoc committees of the College, as assigned. • Support College activities and special events through attendance and/or participation. • Comply with College policies, rules, and regulations. • Performs all other duties assigned by the Comptroller and/or the President.
