    This position is guaranteed through December 31st, 2025. The administrative assistant is an office manager that provides administrative support for the Academic Services Director and the office as a whole. The Administrative Assistant serves as an office receptionist and interacts with students, parents, the business office, human resource office, vendors, activity directors, and faculty. The Administrative Assistant serves as the direct supervisor of a team of 4 to 5 student workers. The Administrative Assistant also interacts heavily with students and manages student flow to the appropriate Advising Specialists and High School Liaisons.

    Administrative Assistant Job Duties include but are not limited to:

    • Trains and supervises a team of 4 to 5 student workers
    • Responds to inquiries in-person, via telephone, and via email and schedules appointments for students
    • Manages the calendars of Advising Center Staff using Microsoft Outlook and EAB Navigate
    • Orders and maintains the office supply inventory and maintains a current inventory listing of all technological equipment
    • Reviews and reconciles invoices and statements against purchase orders for payment approval
    • Manages and develops content for the Advising Center Facebook page using programs such as Canva
    • Sorts mail for proper distribution within the office or into campus mail and prepares outgoing mail and assures that high priority mail is handled expeditiously
    • Develops and maintains an efficient filing system which meets the needs of the Academic Advising Center
    • Manages budget for Advising Center and Testing Center
    • Approves time sheets for Testing Center student workers
    • Tracks testing data for monthly reporting
    • Maintains a working knowledge of applicable regulations
    • Other duties as assigned

    SUPERVISION: Administrative Assistant will report to the Academic Services Director for general supervision.

    MINIMUM QUALIFICATIONS:

    1. Graduate of a standard high school or equivalent
    2. Two years of increasingly responsible administrative and/or secretarial experience or other combination of education and experience
    3. Excellent oral and written communication skills
    4. Experience in a variety of computer applications such as Microsoft Office (Specifically Outlook, Excel, Word, and PowerPoint), Adobe Acrobat, Zoom, and Google Workspace with a demonstrated ability to learn and implement new applications
    5. Ability to deal extensively and effectively with a wide variety of individuals using excellent interpersonal, listening and communication skills in order to advise students with respect to their academic goals
    6. Demonstrated ability to independently learn new programs and software and handle multiple tasks. Experience with records management

    PREFERRED QUALIFICATIONS:

    1. Completion of an Associates or Bachelor's degree
    2. Related experience in an institution of higher education
    3. Experience with Banner
    4. Experience working with diverse traditional and non-traditional student populations
    5. Experience with social media management

    SALARY: $24,500.00 Annually
