DESCRIPTION: The primary responsibility of the Administrative Assistant-Pampa Center is to provide administrative, secretarial, and clerical support to the Dean of Career and Technical/Continuing Education. Additionally, this position serves as the testing coordinator for Pampa Center, responsible for scheduling and proctoring of pre-enrollment testing. Reports to the Dean of Career and Technical Continuing Education.
a. answering the telephone in a friendly and courteous manner;
b. providing information and assistance to current and prospective students;
c. filing;
d. photocopying;
e. word processing/typing and preparing various letters, documents, and reports;
f. keying in data,
g. assisting in registering students on- and off-campus for academic, workforce education, continuing education, and community service courses;
h. assisting in the coordination and conducting of public relations events and other special events, e.g., commencement, orientation, college days, and student activities.
i maintain all student files and work with the Admissions Coordinator and the Registrar to ensure all student files are accurate and complete.
j. work with the Associate Dean of Enrollment Services on recruiting, admissions, and registration of students.
k. sort and distribute incoming mail and prepare outgoing mail for delivery.
l. maintaining the “HOLD” status of all student accounts, Pampa Center.
m. Coding and entering of purchase requisitions.
n. Collect, record, and report student fees.
a. Provide secretarial, clerical, and proctoring support to the Associate Dean of Enrollment Management at the Pampa Center.
b. Answer phone and in-person inquiries concerning TSIA2 and TEAS pre-enrollment testing.
c. Schedule test dates.
d. Collect test fees and verify identity and eligibility of testers.
e. Start test application and proctor tests.
f. Report test scores to proper departments.
g. Perform other duties as assigned by the Associate Dean of Enrollment Management.
Communicate an accurate image of the College as a means of informing others about opportunities at the College.
Work on standing and ad hoc committees of the College, as assigned.
Support College activities and special events through attendance and/or participation.
Comply with all College policies, rules, and regulations.
Performs all other duties as assigned by the Dean of Career & Technical Education and/or the President.
