  • Responsibilities

    Full time grant-funded, benefit eligible. Position ends 09/30/2020.

    • Provides primary administrative support to the grant and spends 70% of time with grant work.  Including travel and scheduling responsibilities for the grant projects.
    • Serve as the principal administrative support for Office of Professional Education, reporting directly to the Director, in matters concerning inquiries in general, including generating and responding to e-mail and correspondence from administration and others, internally and externally or relay as required.
    • Act as the principal calendar, travel schedule and information coordinator, assisting with conference calls and organizing departmental and non-departmental meetings as well as making other arrangements.
    • Coordination of seminar specifications including seminar set-up, registration, speaker coordination, invitation, confirmation, welcome and thank you letters, conference faculty schedules, and marketing assistance.
    • Serve as on-site liaison for seminars held on site and at off site facilities as assigned.
    • Order and maintain office supplies for the Center (i.e. letterhead, banners) and/or pick up needed supplies (i.e. refreshments, gifts).
    • Open, date stamp and distribute daily mail for department.
    • Maintain calendars, coordinate conference calls, and schedule appointments (students, faculty or outside parties) for events, as needed.
    • Oversee day-to-day details concerning Department events within assignment, including coordinating other staff or student interns to help or assist with projects.
    • Communicate internally as needed regarding Department activities, upcoming functions, and schedules.
    • Basic internet and legal research.
    • Billing.
    • Copy and scanning work.
    • Assists on “special assignment” projects.
    • Maintains a collaborative work environment and works well with others.

    Other duties as assigned.

     

    Required Skills

    Associate degree preferred and/or appropriate relevant experience.  1-3 years of experience with an administrative support/clerical role required. Paralegal experience or legal research experience in Westlaw/Lexis preferred.  Strong verbal and written communication skills.  Must be able to multi-task, have excellent computer and telephone skills.  Be detail oriented and follow through with ongoing projects. Event management experience preferred. Establish and maintain positive and collaborative working relationships, both internally and externally. Works to build an environment that promotes and facilitates the success of Diversity and Inclusive Excellence. Occasional night and weekend work may be required. Computer skills include: Word, Word Perfect, Excel, PowerPoint, Outlook, Westlaw, Lexis.
