  • Responsibilities

    An incubator in an academic setting, located on the Charles River Campus of Boston University, the Hariri Institute for Computing is a fast-paced environment where creativity, flexibility, and collaboration are essential. Serving as the first point of contact for visitors to the Hariri Institute, the Senior Administrative Coordinator supports the administrative functions for the Hariri Institute for Computing and its federated areas. Essential functions include general office administration, supervising front desk students, submitting and tracking facilities requests, supporting event logistics and space reservations in 25Live, and special projects as needed. Successful candidates will be professional, personable, and quick to learn. This position reports to the Executive Director.

    Essential Functions:

    (35%) - Financial Transactions: Coordinator will purchase supplies and equipment, process invoices and purchase orders, and completes travel expense and reimbursement reports in Concur for Hariri and its federated areas. They will also liaise with AP and Sourcing/ Procurement to troubleshoot issues. Coordinator will have a BU Procurement card and will use this to procure goods and services in accordance with BU and Hariri Institute policy. Following up with stakeholders to confirm receipt of deliveries.

    (30%) Events: Coordinator will also provide events logistics support, such as handling room reservations and setup, ordering catering/supplies for events, and support event recordings and communications needs for weekly seminars. Coordinator will also support scheduling meetings for the Hariri Institute.

    (20%) - Coordinator will supervise students serving as the main point of contact for guests and visitors to the Institute, including greeting visitors, answering phones and email inquiries, handling incoming outgoing/ incoming mail, meeting/event setup, PowerPoint slide preparation, document composition, etc. The coordinator will be expected to perform these duties if students cannot.

    (5%) - Administration: The Senior Administrative Coordinator will process and track all facilities maintenance requests and space reservations, key access, and oversee the Institutes IT equipment tracking.

    (5%) - Director support: Coordinator will support administrative needs of the Hariri Institute's Director, including but not limited to calendar support.

    (5%) - Miscellaneous/ Special Projects: Coordinator will work on miscellaneous tasks and special projects, such as gathering and tracking annual reporting data and other ad hoc projects as needed.

    Required Skills

    Bachelor's Degree and 5-8 years of experience required. Training and vocational skills can substitute for experience.
