    Position Summary/Job Description: The Program Manager, Exchanges is responsible for all logistical aspects of BUSAs incoming and outgoing exchange programs, as well as other study abroad programs as assigned. Under the supervision of the Assistant Director for Enrollment Services, s/he serves as the primary contact and source of information for the participants, addressing issues related to specific program features (academics, housing, visas); program-specific prerequisites and application procedures; admissions decisions; orientations and advising. The Program Manager will liaise with host/sending institutions as necessary, as well as BU offices and colleges to inform, advise and retain BUSAs applicants.

     

    Key Responsibilities/Essential Job Functions:

     

    1.Act as primary advisor to incoming exchange students, advising them on application process, registration, housing, insurance, and student life; prior to and upon their arrival. Review and process applications of incoming exchange students, maintain and manage all written communication with program participants. Assist incoming students with course selection and enrollment. Schedule individual advising meetings for students as needed, design and implement orientation and co-curricular and cultural programing, work closely with the International Students & Scholars Office, the Registrar's Office, the Office of Housing, Office of Student Account Services, Student Health Services and the Orientation office. Serve as first point of contact for exchange program partners for all issues related to the application process, qualifications, exchange balance and related student issues. Track exchange participation and monitor and maintain appropriate exchange balances.

     

    2.Serves as the primary contact and source of information for portfolio of outbound exchanges and other study abroad programs as assigned. Manage admissions processes, including advising, application review, admissions decisions and enrollment retention. Advise students on all aspects of program; conduct individual advising meetings and facilitate program information sessions as needed. Stay current with any changes to host institutions policies and procedures. Coordinate post-acceptance process: communicate regularly with accepted students, prepare program-specific informational and pre-departure materials, provide detailed immigration requirements and instructions, conduct pre-departure and re-entry programming, and assist with program evaluations. Stay current with country-specific visa regulations; provide accurate guidance and assist with visa processing. Maintain, manage and track written communication with program participants.

     

    3.Communicate regularly with Assistant Director, Enrollment Services as well as exchange partners about enrollment numbers, admissions, and pre-departure. Elevate any student, parent, program or other issues to Assistant Director, Enrollment Services, and program site staff as appropriate. Address any disciplinary issues with students prior to their departure and when necessary, rescind admissions decisions based on information provided to BUSA by the office of Judicial Affairs. Advise appropriate staff of any disability issues that accepted students disclose.

     

    4.Manage and maintain Pre-departure Pages for all programs in assigned portfolio, ensuring they are accurately updated and clearly articulated each semester. Pre-departure pages and In-Country Guides should be reviewed regularly with site staff to keep information consistent. Collaborate with relevant colleagues in Study Abroad and Global Support to update all program materials (website, one-sheets, brochures, outgoing email communications etc.) as needed.

     

    5.In coordination with senior leadership of BUSA, and as the program expert for your assigned portfolio assist with projects/issues as needed, including: academics, program development, health & safety, finance and operations. In addition, communicate with advisors and colleagues in other departments both on and off campus as needed. Communicate with program participants and site staff as appropriate. 6.Maintain familiarity with BUSAs full portfolio of programs, facilitate general advising sessions, and staff walk-in hours. In coordination with the Associate Director, University Relations, participate in recruiting initiatives including BUSAs Family Weekend Parent Reception, fall and spring Study Abroad Expos, open houses and information sessions for prospective students, class visits, and other events as required. Represent BUSA at study abroad fairs for selected partner universities as assigned; coordinate pre-visit planning, complete recruiting report; and ensure any requisite follow-up.

    Required Qualifications, Skills, Abilities: -Position requires Bachelors Degree in education or related field (Masters preferred) -Minimum of two to four years of experience in higher education with emphasis on study abroad admissions -Knowledge of a second language and international experience abroad strongly preferred -Excellent Microsoft Office skills and database applications; WordPress experience preferred. -Excellent public speaking, presentation and writing skills are essential, along with managerial, organizational, and administrative skills; high level of self-sufficiency; personal and professional knowledge of international education and BU study abroad programs; knowledge of a second language. Strong interpersonal skills. -Must be able to balance competing priorities and manage work cycles that are tied to the admissions calendar and includes intense work times -Occasional travel and irregular hours may be required. Drivers license preferred for occasional off-campus recruiting.
