    Trustmark is seeking a Document Specialist to join the team.

    Job Overview

    Document Specialists are critical members of our TMK VS service delivery model. These individuals support the entire VS division by applying technical skills and business knowledge to initiate or perform transactional work through Dynamics, G360 eCor, Xpression, CSS, Mainframe and Microsoft systems. Document Specialists manage VB company correspondence by interrogating the correspondence and company record and reviewing records for integrity and completeness before digital distribution and/or digital storage. Additionally, this role is responsible for triage and delivery of incoming company checks; production of outgoing policy refund checks; researching and reprocessing policy addresses to ensure time sensitive mail, checks and contracts are delivered to customers, handling of duplicate policy contract requests and policy summaries.

    KEY ACCOUNTABILITIES

    MANAGE INCOMING COMPANY CORRESPONDENCE

    • Manage digital correspondence from lockbox, emails and faxes
    • Manage traditional paper correspondence
    • Identify types of requests by functional area and appropriate system through which work is to be digitized and distributed (e.g. G360, Dynamics)
    • Digitize and distribute work to appropriate functional areas with the VB division

    MANAGE INCOMING COMPANY CHECKS

    • Triage of incoming checks and based on type of check and from whom check is initiated
    • Ensure timely delivery to appropriate bank lockbox or Treasury department

    MANAGE OUTGOING REFUND CHECKS

    • Produce Billing Team refund checks from CBS system
    • Produce and match check with documentation and create mailing labels
    • Ensure completeness of and scan records of the disbursement into G360 MANAGE RETURN MAIL
    • Using internal systems, records and external search tools, research and update policy holders addresses
    • Reprocess and/or resend time sensitive mail, checks and policy contracts
    • Ensure completeness of and scan records of updated addresses and mail into G360

    MANAGE DUPLICATE POLICY REQUESTS AND POLICY SUMMARIES

    • Compile all documents and produce duplicate policies in accordance with approved state filed policy documents and applications.
    • Compile and encrypt documents to email Accident Policy Summaries
    • Ensure completeness of and scan records of fulfilled requests into G360

    Other duties as needed/assigned.

    REQUIREMENTS

    • High School diploma/GED
    • Ability to meet deadlines
    • Ability to work in an environment that requires meeting standards of production & quality
    • Must be organized and detail oriented

    Preferred

    • Experience in Microsoft Word and Excel

  • Qualifications
    • ASL/ English fluency (i.e., manual, and written communication)
    • AA degree + 5 years interpreting in post-secondary settings, or BA degree + 3 years in post-secondary settings
    • Massachusetts State Screening/QA or National Certification
    • Minimum 3 years administrative ASL/English Interpreting experience
