One Stop Specialist I - Competency Based Education Brandman University 41 reviews - Irvine, CA 92618 18-049 S1-Staff FT NonExempt Central Administration Irvine POSITION SUMMARY: Under general direction and as a representative of the One Stop Student Services division, knowledgably assist and continually support Brandman University Competency Based Students with each of the various steps and processes experienced throughout the student lifecycle and beyond. Provide high quality, customer focused service to all students, staff, and guests. Remain current with updates to institutional and federal regulations and policies, especially those related to non-term financial aid within a competency based environment. POSITION DUTIES AND RESPONSIBILITIES: ESSENTIAL FUNCTIONS: 100% of time General Responsibilities Develop and provide leadership for initiatives and strategies within the campus OS team Collaborate with One Stop leadership to create, update and deliver training programs and special project coordination to advance the mission of One Stop global Analyze, troubleshoot, and resolve complex and/or sensitive student issues and provide escalation support by collaborating and consulting with internal departments, Campus Directors to identify and resolve student issues Interpret, apply and recommend improvements to OS process/procedure to management Serve on campus One Stop hiring committee and represent One Stop in institutional committees, initiatives and programs, in coordination with campus directors and the central office Financial Aid Serve as liaison between students and the Financial Aid Office by providing financial aid information to students regarding the application process, needs determination, verification, and status of their financial aid application in accordance with all applicable laws, regulations, and policies. Maintain knowledge of federal aid eligibility requirements, admission and academic requirements, and federal, state and institutional programs, regulations, policies and procedures specific to CBEs non-term structure. Monitor student financial aid records and assist students with completing outstanding financial aid requirements and troubleshoot to ensure financial aid disbursements are applied to the students account Complete financial aid Information Summary Sheets based on student education plans Student Accounts Assist students with questions regarding their accounts including but not limited to payments, holds, and refunds; run student account reports to identify balance and hold issues as well as audit accounts to ensure accuracy and work with students to bring their university accounts current to prevent adverse effects or penalties Perform accounts receivable activities for past due accounts in accordance with Brandman University policies Assist students in interpreting student account data and navigating the student billing and refund system Document all communications in the appropriate area of the student management system Enrollment/Admissions Maintain knowledge of Information Request Form (IRF) process and complete as needed; manage Information Sessions process and New Student Orientation based on campus needs Work with Enrollment Coaches to ensure prospects/applicants are moving forward with the admission process; work with Admissions Department to resolve application and admission file issues, ensure admission documents are scanned into imaging system Run admission reports to identify outstanding admission requirements, applicant status and scholarship attributes Student Services (APS, Records, Student Resources, and Career Services) Maintain knowledge of all divisions within Student Services and their functions; including but not limited to assisting students with registration, petitions/requests, degree conferral, commencement information, and referrals to other departments as needed; Scan Student Services documents into imaging system and audit image for quality assurance Serve as liaison between students and the Student Services Division; Work in collaboration with Student Services Division to ensure accuracy of student records information Military Services Maintain knowledge of military benefits and verification requirements; provide information to military students regarding active duty and veteran benefits Collect, review, and submit verification documents to the Military Services Department for processing; work with Military Services Department to assist students with any issues that may affect their attendance or benefits Concierge-Level Service Maintain knowledge of Brandman University Concierge-Level Service processes and best practices and commit to mentoring campus teams on Concierge-Level Service behaviors and standards Maintain high level of empathetic professionalism in all communications including email, phone and in person Reports Run as scheduled or as needed various reports from the student management systems Review and analyze reports according to campus plan and coordinate with university personnel to resolve issues Use reports to drive focused contact with students POSITION SPECIFICATIONS AND REQUIREMENTS: Position requires successful completion of a background check. May require some flexibility with office hours needed to accommodate business and students needs. PREVIOUS EXPERIENCE: REQUIRED: Exceptional customer service skills including: Minimum 2 years previous experience in student financial aid, student accounts, customer-based accounting positions (e.g., collections, loan administration) or closely related field. Outstanding customer service skills including interpersonal and active listening skills along with an analytical and critical thinking ability to interpret and respond appropriately to diverse groups of people in various situations. Ability to communicate clearly and concisely with tact and diplomacy in all oral and written communications. Ability to work effectively in a team environment and participate to get the job done, while continually focusing on the needs of the students. Ability to exercise appropriate personal initiative and accountability. Associate's degree or 2 years of college. Intermediate level experience in Microsoft Office Word, Excel, Outlook. General familiarity working in database systems including data entry, queries and running reports. Ability to accurately perform key mathematical functions (e.g. addition, subtraction, multiplication, division). Familiarity with the use of standard office equipment (e.g. copier, fax, scanner, etc.). Ability to handle sensitive information in a confidential manner. Proven ability to execute instructions accurately and in a timely manner. Strong administrative, organizational, and prioritization skills. Must have exceptional follow-up, follow-through, and attention to details skills, accomplishing tasks with concern for all areas involved, no matter how small. Demonstrated ability to work efficiently and complete tasks in a fast-paced environment amidst interruptions and fluctuating workloads. Must be available to work flexible hours including nights and weekends according to campus operating requirements. May require travel for meetings, conferences, or between locations and may include overnight travel. DESIRED QUALIFICATIONS: Bachelors degree in accounting or related field. Previous experience working in higher education. Knowledge of Chapman/Brandman University policies and procedures. REQUIRED TRAINING: Brandman University Employee Orientation Training Program.
