    The People Operations Assistant supports the goals and day-to-day functions of the People Operations/Human Resources office. This role is responsible for providing both administrative and entry-level technical HR support while ensuring a positive, service-oriented experience for employees and visitors. The ideal candidate brings curiosity, reliability, and a desire to grow within the HR profession, while maintaining professionalism and confidentiality in all matters. ****

    Essential Job Functions and Responsibilities:

    **Employee and Visitor Support **

    • Serve as the first point of contact for the HR department, offering professional, inclusive, and confidential service to employees, students, and guests, using sound judgment to assess and direct inquiries.

    • Monitor and manage HR department mailboxes, field telephone calls, and route inquiries to appropriate staff with discretion and sound judgment.

    **Records and Data Management **

    • Maintain employee records, ensuring accurate and organized documentation through digital and paper-based filing systems.

    • Update employee information in systems such as Banner and internal directories (e.g., address changes, office numbers).

    • Process employment verifications and assist with Public Service Loan Forgiveness (PSLF) form completion.

    **A dministrative and Operational Support **

    • Prepare and process departmental invoices, staff reimbursements, and assist with tracking budget expenditures.

    • Submit and monitor work orders for office maintenance and coordinate supply ordering and inventory for the department.

    • Provide proactive and detail-oriented administrative support to the People Operations team, including scheduling, data entry, and accurate recordkeeping.

    **HR Communications and Engagement **

    • Assist in drafting and distributing internal HR communications, including a biweekly employee newsletter.

    • Maintain and update the People Operations/HR website and bulletin boards.

    • Coordinate creation of employee recognition cards (e.g., birthdays, milestones) in partnership with the Dean’s Office and Communications.

    Employee Events and Orientation

    • Support planning and logistics for employee events, orientation sessions, and employee engagement activities.

    • Serve on the Stetson Wellness Squad, Health Fair Committee, and Graduation Planning Committees.

    • Help implement employee wellness initiatives and other community-building efforts.

    **Technical and Project-Based HR Support **

    • Support HR systems and tools by assisting with data entry, troubleshooting access or navigation issues, and supporting simple data reporting.

    • Help test and implement new HR forms, surveys, or process improvements (e.g., digitization of onboarding forms).

    • Assist with special HR projects, audits, research, and compliance-related tasks as directed.

    • Support HR document formatting, template consistency, and branded materials for internal communications and guides.

    **Other Responsibilities **

    • Perform other duties as assigned, contributing to a team-oriented, service-driven HR environment.

    • Maintain the highest level of confidentiality and professionalism in handling sensitive personnel matters.

    Required Skills

    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).

    • Strong attention to detail and organizational skills.

    • Demonstrated ability to handle confidential information with discretion and professionalism.

    • Excellent verbal and written communication skills, with a customer service mindset.

    • Ability to work independently, prioritize tasks, and adapt in a fast-paced environment.

    • Interest in learning and growing within the Human Resources field.

    • Comfort using or learning HR systems such as Banner or other HRIS platforms for data entry and basic reporting.

    • Ability to maintain and update website content using a content management system (CMS) or similar tools.

    • Familiarity with or willingness to learn basic design platforms (e.g., Canva, Publisher) for creating internal communications and flyers.

    • Willingness to learn about HR compliance, employment policies, and internal procedures to provide informed administrative support.

    Preferred Qualifications :

    • Familiarity with basic data reporting or Excel-based dashboards for HR metrics.

    • Understanding of institutional branding and ability to format documents and templates accordingly.

    • Comfort working with shared file systems such as OneDrive, SharePoint, or Google Drive for collaborative document management.

    Work Environment: Routinely work in an office setting during normal hours of operation for university offices. Will require some light travel to Tampa Law Center and DeLand campus.

    Required Experience

    • High school diploma or equivalent is required; associate's degree or some college coursework in human resources, business administration, or a related field is preferred.
