(FONT) ESSENTIAL DUTIES AND RESPONSIBILITIES: The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all inclusive. (FONT) -Act as liaison to other city offices; represent department at meetings as required. -Assures compliance with City purchasing requirements and resolves discrepancies. -Compiles, sorts and distributes department-related materials such as reports and agendas. -Conducts financial transactions such as accounts payable or requisitions for purchase. -Conducts research, compile and prepare records or reports. -Coordinates and schedules meetings, training, and travel as required. -Develop and maintain data bases including dashboards. -DocuSign-Prepare and monitor contracts and other documents as requested. -May conduct financial transactions such as accounts payable, claims processing or requisitions for purchase, purchase orders, routing of approvals and accounts administration. -Performs data entry by maintaining and updating files, records and databases. -Performs general secretarial duties associated including filing, scanning and copying. -Performs word processing of letters, memos, correspondence and reports. -Plans for and completes logistics for department events. -Prepares and/or processes legal documents. -Provide administrative and technical support as needed for events and trainings. -Provides administrative program support for Project Analysts, Education Supervisor, Community Engagement Specialist, Program Coordinator Supervisor, Senior Program Manager and Community Engagement Manager. -Provides customer service to citizens and employees either in person or by telephone. -Reads and routes incoming mail and prepares outgoing mail. -Reconciles purchasing card expenses, including but not limited to; assigning proper accounts from chart of accounts, providing proper documentation, and applying proper delegation of authority. -Schedules appointments and meetings, may attend and record minutes of meetings as needed. (FONT) SUPERVISORY RESPONSIBILITIES: This job has no supervisory responsibilities. (FONT) (FONT) EDUCATION and EXPERIENCE:High school diploma or general education degree (GED) required; college-level or technical course work in business, finance, marketing, communications, public relations, or office management preferred; plus a minimum of three to five years related experience; or equivalent combination of education and experience. (FONT) LANGUAGE SKILLS:Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. (FONT) REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. (FONT) CERTIFICATIONS, LICENSES, REGISTRATIONS: Valid drivers license.
