Key Accountabilities Key Accountabilities Program Development Participates in the design, implementation, and execution of the Admissions Ambassador Program which recruits, trains, and stewards volunteers throughout the admissions interview cycle. Learns the program management system Slate and effectively trains and helps ambassadors with this online tool. Assists with design of volunteer training materials and curricula as well as collateral materials for alumni volunteers. Supports the Director and Assistant Director in the management of over 6,000 Admissions Ambassadors. Prepares written correspondence, marketing materials, brochures, training materials, etc. in support of the program. Works in partnership with the Admissions Office and other campus offices to assist in building a robust alumni interview program. Assists with implementing a year-long volunteer stewardship plan to inform volunteers of their impact and celebrate individual as well as area milestones. Helps coordinate market research studies on alumni volunteers perceptions of engagement and communications. Assists the Director and Assistant Director in creating a connected community of admissions volunteers through communications and events. Works to create a clear and helpful Admissions Ambassador Program website, including uploading resources, updating content, and making responsive design changes. Supervises student intern to ensure meaningful workflow and cyclical feedback. Office Administration Coordinates a variety of diverse activities to support the Alumni Relations mission. Provides administrative support for the day-to-day operations, meetings, and activities of the Alumni Admissions Ambassador Program. Serves as a point of contact and responds to requests for information from internal and external constituents. Schedules meetings for the Director, staff members, and others utilizing the Colleges electronic scheduling system; exercises good judgment in prioritizing appointments. Briefs the Director and Assistant Director on changes in schedules and priorities or on matters needing their personal or immediate attention. Responds to inquiries about the program and effectively explains policies, instructions, procedures, and program contact. Performs research as needed on a variety of topics. Helps to coordinate travel for staff and event participants, as appropriate. Prepares materials for meetings, attends meetings, takes minutes of meetings, prepares and distributes reports, and follows up on details to ensure timely and accurate dissemination of information. Coordinates conference calls and maintains a high level of collaboration and communication with both internal and external constituents. Drafts, edits and proofreads correspondence and other materials; responds to requests from internal and external constituents. Represents the organization and staff in a positive, professional manner. Works with the Administrative Provost Finance Center to administer budgets. Event Coordination Provides support in managing logistics for a variety of engagement events for students and families, including admitted student events, book award receptions, and Navigating College Admissions sessions. Support includes arranging for necessary services, managing agendas, coordinating schedules and itineraries. Provide programming support for other events as needed within Alumni Relations. Coordinates event correspondence, including emails, mailings, invitations, and other collateral in support of the Admissions Ambassador Program. Manages responses in event databases. Communication/Coordination Acts as a liaison between the department, alumni, students and others; represents Dartmouth and the Advancement division in a positive, professional manner. Manages personal and program email accounts to respond to volunteer requests and questions promptly, including during periods of high-volume communication. Interacts regularly with a wide range of internal and external constituents and staff members and fosters respectful communication and collaboration within a diverse community. Utilizes iModules to develop, send, and monitor email campaigns. Information Management Responds to requests for data from both internal and external parties. Researches, collects, organizes, summarizes and proofreads data for use in reports, budgets and meetings. Serves as the central information manager for electronic and paper files, including data entry; ensures the integrity of multiple databases; manages and maintains data. Coordinates a variety of special projects, including communications and mailings to alumni volunteers, etc. Learns and understands the online portal Slate to steward volunteers. Demonstrates a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others. -- Performs other duties as assigned.
