    ABOUT THE POSITION:

    The Accounting Assistant-Accounts Payable performs routine work in the accounts payable department, working with the accounting specialist-accounts payable supervisor. In addition, this position works with outside vendors, department directors and administrative staff. General policies can be applied to a majority of work situations; however, moderate decision-making is required under limited supervision.

    ESSENTIAL FUNCTIONS/DUTIES:

    • Perform data entry of invoices into the accounting system. Review input to supporting documentation for accuracy and coding for proper classification to general ledger. Responsible for scanning and/or csv documents to be uploaded into the accounting system as supporting documentation of the transaction.
    • Monitor accounts payable email site for incoming invoices and/or department requests for invoices to be paid and vendor questions.
    • Reconcile and analyze purchase orders, receiving and invoices for accuracy.
    • Provide customer service research and follow-up on questions regarding purchases for both vendors and college department requests.
    • Assist with reconciliation and processing of credit card bills.
    • Assist with reconciliation of travel vouchers.
    • Assist Accounts Payable Supervisor with projects as needed.
    • Assist with year-end audit requests.
    • Maintain regular attendance/punctuality.
    • Performs other duties as assigned.

    Required Skills

    • General accounting knowledge required.
    • Experience with Microsoft Excel and Word required.
    • The ability to establish an effective rapport with internal and external stakeholders, administrators, College staff, and third-party vendors.
    • Excellent organizational skills, with special attention to detail. Mistakes can result in misstatement of receivable balances on the financial statements.
    • Excellent oral and written communications skills.
    • Ability to work well with others.
    • General office skills.
    • Ability to maintain confidential information.
    • Requires tact in discussing problems and presenting data.
    • Strong business aptitude.
    • Maintain professional appearance.
    • Knowledge and experience with reconciliations required.
    • Ability to work with people in pressure situations.

    Required Education:

    Graduation from a standard high school (or equivalent diploma) required.

    Preferred Education:

    Associates Degree in Accounting or other related field preferred.

    Required Experience

    At least two (2) years of Accounts Payable experience is preferred.
