    Job Description

    Delaware County Community College is seeking a full-time STUDENT ACCOUNTS SPECIALIST (CASHIER) in our Finance department. The Student Accounts Specialist provides primary in-person, telephone, and e-mail customer service, assisting students with admissions, financial aid, cashiering, and registration activities using the one-stop model.   This person must be able and willing to function independently to handle student inquiries on a one-on-one basis but would also operate as a member of a team. Central to the position is the goal of satisfactorily meeting customer needs through timely and accurate information dissemination and service, supporting our mission of access to the communities we serve and laying the foundation for student success among those enrolling at the College.  This position requires a person who is confident and comfortable making decisions that will expedite the resolution of student issues.   POSITION OPEN UNTIL FILLED.  

    ESSENTIAL FUNCTIONS 

    • Reviewing and resolving in-person student inquiries ranging from simple to complex for all of the components delivered through the one-stop model;
    • Taking ownership and making decisions to ensure we are meeting all of the student’s service needs in one visit, whenever possible;
    • Interacting effectively with other associates and departments to resolve student inquiries and issues;
    • Acquiring knowledge about the College’s programs and services and answers to frequently asked questions regarding key student services; 
    • Operating within the policies and procedures of the College when servicing students;
    • Effectively using tools such as the College’s web site, Academic Calendar, Customer Service Wiki, Course Catalogs, and other publications to remain current and accurately respond to inquiries;
    • Maintaining a calm, friendly and diplomatic demeanor in all interactions, including challenging situations; 
    • Provide superior customer service to students, families, third parties, and staff at all levels;
    • Providing ongoing feedback to the Director of Student Accounts so adjustments to the system and operation can be made quickly to meet customer service needs, especially during peak periods;
    • Participating in periodic customer service training and team meetings to share current customer service trends, FAQs and issues that can be used to inform team members, update materials and improve overall performance;
    • Demonstrating sensitivity to cultural diversity and ability to communicate and interact effectively with people of all ages and diverse backgrounds;
    • Processing admissions applications; 
    • Assisting students to resolve financial aid issues by explaining process and procedures, checking their status on appropriate Banner forms, familiarizing students with their delaGATE accounts, and problem-solving—either through immediate intervention or working with the financial aid staff;
    • Registering students for classes; 
    • Processing and recording student payments and issuing receipts, including credit card; 
    • Reviewing student bills for accuracy;
    • Analyzing student accounts for balances, refund amounts, etc.; 
    • Preparing cash and check deposits;
    • Refunding credit balances of payments or financial aid;
    • Providing clear and accurate information regarding all entry processes in which students must engage in successfully to enroll at the College;
    • Issuing student IDs;
    • Responding to e-mail, utilizing professional, grammatically correct and timely responses;
    • Respond to interdepartmental request phone, email, and Microsoft Teams;
    • Participate in and complete individual or team projects;
    • Assist in training new staff as needed;
    • Participate in campus-wide events promoting Student Accounts services;
    • Performing other duties as assigned

    EXPERIENCE, EDUCATION, AND LICENSURE   Minimum Experience: 3+ years’ experience of customer service-related activities in a professional setting; experience in a higher education setting is preferred.   Minimum Education: High School diploma plus specialized training in accounting, data processing, bookkeeping or related areas; Associate degree from an accredited college or university in business or accounting is preferred KNOWLEDGE, SKILLS, AND ABILITIES 

    • Understanding of Delaware County Community College’s mission, goals, and objectives and ability to work independently and in a team-environment demonstrating initiative and commitment to student success;
    • Broad knowledge of College services and programs, in-depth information regarding student accounts and enrollment services, and ability to identify available resources to effectively serve students, parents, and members of the community at the College;
    • Strong interpersonal and communication savvy to engage with and meet the needs of a wide range of diverse stakeholders, to include strong student-centered customer service approaches;
    • Ability to maintain a professional, calm, and approachable demeanor with students and the public when faced with difficult individuals and/or situations;
    • Ability to effectively adapt, be flexible, and manage change when faced with new systems and approaches as we continually strive to meet the needs of our students;
    • Strong organization skills; including planning, organizing, prioritizing, and using time efficiently and effectively;
    • Proficiency with various software and web-based applications, email, word processing, spreadsheet, databases, Microsoft Office applications, and College systems such as Banner, delaGATE, and WIKI;
    • Ability to effectively work as part of a larger team, cooperate, and be supportive of one another in alignment with both department objectives and larger college-wide goals;
    • Ability to and sensitivity to maintaining strict confidentiality related to student data/information.
