Xavier University is seeking a creative, organized, and highly motivated Event Coordinator to join our Events and Conferences team. The Event Coordinator will play a vital role in planning, organizing, and executing events ensuring the successful delivery of high-impact experiences that align with our University goals.
Key Responsibilities:
- Plan and coordinate all aspects of events, including budgeting, logistics, vendor management, and on-site execution
- Collaborate with internal teams and external partners to ensure event objectives are met
- Source venues, negotiate contracts, and manage relationships with suppliers
- Develop event timelines, floor plans, and run-of-show documents
- Manage registration processes and guest communications
- Provide on-site support during events, resolving issues in real time
- Track event metrics and prepare post-event reports for evaluation and improvement
Qualifications:
- Associate’s degree required; Bachelor’s degree preferred. 1-3 years of relevant experience considered in lieu of degree.
- Excellent organizational and time-management skills
- Strong interpersonal and communication abilities
- Creative problem-solver who thrives under pressure
- Proficiency in Microsoft Office; experience with event management software is a plus
- Willingness to work flexible hours, including evenings and weekends, as needed
