    The position reports to the SON Site Director and works closely with the Department Chair and Director.  The position is located at the San Diego location.  APU School of Nursing has nine academic departments, including undergraduate, masters, and doctoral programs that serve over 2,300 students across six Southern California locations.  

     

    REQUIRED EDUCATION

    • Master’s degree or equivalent education and experience.

     

    REQUIRED EXPERIENCE

    • Four years of experience in a client-based, service-oriented environment
    • Higher education experience preferred

     

    PRIMARY DUTIES/ESSENTIAL FUNCTIONS

    The following includes the areas of responsibility within Customer Service (Students and Faculty), Administration,  and general responsibilities:

    _Program Customer Service (Students and Faculty) _

    • Serve as the point person that will monitor and track each student in the program from start to completion. 
    • Act as the point person for the program faculty and assist them with the process of creating course schedules, class rosters, book orders, coordination of academic activities, etc.  
    • Coordinate the program admissions tracking of applications, completeness, and communications between the department and potential students.
    • Liaison between the clinical placement team and the students to ensure clear communication, timely document collection, and ensure students are cleared for clinical sites.
    • Support new student orientation preparation, planning, and execution
    • Audit the process to ensure students are cleared to participate in clinical/program activities. 
    • Coordinate the program evaluation processes such as surveys, exit interviews, student completion tracking, etc.

    Program Administration

    • Oversee the file management for student files, program forms, etc. 
    • Maintain the program’s calendar of activities and coordinate faculty, student, and alumni engagement.
    • Coordinate with university services such as catering, printing and binding, mailroom, room resources, information and media technology, facility and equipment requests, etc.
    • Create, maintain, and distribute promotional materials for events, bulletin boards, etc.
    • Besides both clinical and student tracking, maintain department databases and report systems for grants, accreditations, and academic evaluations (e.g., WASC, AACN, BRN).
    • Manage student employees and the assignment of their daily duties and coordinate their schedules for coverage of the department programs to support staff, faculty, and students. Oversee timely and accurate record-keeping, filing, and other clerical duties performed by student workers for the program.
    • Create and maintain meeting minutes and correspondence as directed.
    • Order program supplies and equipment as needed.
    • Operate a variety of software products. 
    • Provide administrative assistance to the Department Chair.

    General

    • Support both program and school activities/assignments that may include evening and weekend hours. 
    • Manage sensitive and confidential file systems in both digital and physical formats.  
    • Responsible for daily electronic timekeeping as it applies to the scope of this position.
    • Regular, punctual attendance as required by the supervisor based on department needs.
    • Performs other duties as assigned by the supervisor.

    • Meetings may require walking and/or driving to various University locations.
    • Able to pull, push, bend, grasp, reach and lift up to 20 lbs.
    • Able to use stairs or ramps as needed in executing job duties at university facilities.

     

    VISUAL DEMANDS

    • Reading, writing notes, and computer monitor.

     

    ENVIRONMENT

    • Pleasant office setting, comfortable temperature.

     

    TECHNOLOGIES

    • Above-average software skills in Google Apps (Docs, Sheets, Drive, Gmail, Calendar, Hangouts, etc.) and Microsoft Office with a proficiency in Word and Excel.
    • The School of Nursing uses the following programs SPSS, PeopleSoft, 25Live, Zoom, Adobe Acrobat, HelloSign, Canva, CORE ELMS, Formstack, etc.

     

    COMPENSATION

    • Grade 10: $25.94-$33.72/hourly
    • Salary will be commensurate with qualifications, experience, and internal equity.
