    Student Employee - Student Life Conference Scheduling Intern - Job Location Fort Wayne Campus - Fort Wayne, IN Position Type Student The Student Life department consists of the following areas: Conference and A/V, Recreation Center and Bowling Alley, Intramurals, eSports, Club Sports, Fitness Center, and Programming Team. General Summary The Student Life Conference Scheduling Intern assists the Director of Student Life in facilities management, event scheduling and administration as well as upholds the Student Life and Indiana Tech employee guidelines. He or she will be responsible for coordinating the majority of scheduling and contracting with internal and external clients as well as gathering and communicating the conference set-up and execution needs to the AV-Conference Team. He or she will assist in managing the calendar of events for Andorfer Commons and Multiflex Theater. This position is 15-20 hours per week, primarily during the 8:30am-5pm business hours. Principal Duties & Responsibilities Under the leadership of the Director of Student Life, be the primary scheduler for Andorfer Commons, Academic Center Multiflex Auditorium, and Talwar Leadership Seminar Room. Receive and respond promptly and professionally to requests for space within 48 hours via email or telephone. Gather necessary event information to determine if event can be approved. Consult with Director of Student Life as appropriate when there are questions. Utilize available technology (Ad Astra Scheduler) to book space and document event details and client communication. Prepare price quotes for external clients and be point of contact for external clients. Prepare facilities usage agreements, worksheets so the Business Office can facilitate billing, track expected revenue, and fees waived. Obtain required documentation for external clients, including but not limited to signed facilities usage agreements, certificate of liability, and 501(c)(3) documentation, etc. Oversee and maintain filing, actual and electronic for event documentation. Meet and show space to clients as appropriate. Provide clear communication to A/V Team so they can execute events in full knowledge of client needs. Attend weekly conference staff meetings to help facilitate the coordination of event information. Assist Director of Student Life with special projects as needed. Sit, oversee front desk of Student Affairs area in needed and availability permits. Help answer telephones as needed. Assist with large Student Life events as needed, such as Orientation or Family and Friends Day. Have an awareness of other Student Life interests such as Tech Treasures, Recreation Center, etc. so that you can speak knowledgably regarding those endeavors. Assist in promoting a positive work environment, lead in a manner to promote team cooperation, and manage Student Life and Andorfer Commons resources in order to execute appropriate customer service. Qualifications - Must be a current student at Indiana Tech - Must be in good academic standing and have a positive history of conduct on campus.
