    We are seeking an Administrative Assistant for our West Des Moines location. The Administrative Assistant’s nature and purpose is to provide a high level of administrative support to the Administration staff, Billing staff and other departments within the Company.  This position provides administrative support including schedule management, handling information request, meeting support, preparing correspondence and mailings, receiving visitors, scheduling meetings and catering, and making travel arrangements.  This position provides good customer service to all clients, internal and external.

    In this position, you will work full-time in the West Des Moines location. Your work schedule will be Mon-Fri, 8:00 am-4:30 pm CT.

     

    JOB RESPONSIBILITIES INCLUDE:

    • Assist Operations team both within the West Des Moines office as well as across Client Benefit Teams with various administrative assistance. Duties include scheduling meetings, organizing daily activities in support of the location including receiving deliveries and visitors.
    • Supports office needs, which include new hire preparation of workstation, maintaining office supplies, desk changes, telephone changes, maintaining conference rooms. Back up for – Ensure proper operation of equipment, troubleshooting malfunctions, and calling for maintenance/repair of equipment.
    • Assist with coordination of region wide communications. Assist with planning and coordination. of location and region wide events and initiatives. Handle sensitive and confidential information.
    • Handle the existing case and new case mailbox daily. Check voicemail boxes and log voicemails on spread sheet for all areas.
    • Handle incoming mail and faxes that need to be processed and/or scanned to another party or the system.
    • Assist Billing Team with delinquency and any special meetings on an ongoing basis.
    • Prepare mail merges and process mailings every month as required.
    • Other duties as assigned

     

    JOB QUALIFICATIONS:

    • High School Diploma or GED equivalent
    • Strong written and verbal communication skills and the ability to work with all levels of internal management and staff, as well as outside clients and vendors
    • High level of demonstrated integrity and confidentiality
    • Computer skills with expertise in Microsoft programs
    • Ability to meet deadlines with strong follow-up skills
    • Critical thinking skills: logic and reasoning to foresee and identify potential problems and proactively take steps to remedy the issue
    • years of previous administrative support experience
    • Strong technical knowledge of Excel and Word to perform mail merge functionality
    • Previous health insurance industry experience is a plus
