    Our IT department is currently seeking an Executive Assistant. In this role you will be responsible for coordination and support of the Enterprise IT CIO and IT SLT (senior leadership team). You will work closely with Enterprise CIO and the IT SLT to support day-to-day operations and provide support for Enterprise IT project, initiatives, and/or processes. You will also work closely with other key members of IT and internal partners to ensure efficient support and delivery of IT services.

    KEY ACCOUNTABILITIES:

    Coordinate and manage calendars, meetings, events, and travel in line with functional priorities and schedules for CIO and IT senior leadership team by:

    • Demonstrating initiative and high degree of self-direction to collect, track, synthesize, and prioritize confidential/critical information for CIO and IT senior leadership team
    • Maintaining/leveraging time consistent with priorities
    • Providing complex level of meeting management including scheduling, logistics and preparations
    • Creating and managing agendas and materials for various meetings
    • Helping prepare and coordinate, distribute materials, and track follow-ups
    • Maintain regular, ongoing, and effective communications with, and on behalf of, the CIO, SLT, Enterprise IT employees and other key audiences by:
    • Effectively interfacing with CEO, ELT (Executive Leadership Team) on behalf of CIO, IT senior leadership team and Enterprise IT, creating a positive customer-focused experience
    • Partnering with corporate communications, CIO, and IT SLT members to ensure execution of the IT communication plan in a timely and effective manner
    • Assisting in the development of audience appropriate correspondence, communications, presentations, and materials Assisting in development and execution of the IT employee recognition program

    Provide coordination and process oversight of initiatives as requested to include:

    • Becoming the single point of contact for assigned initiatives
    • Monitoring operational checkpoint activities and requirements throughout the lifecycle of the initiative
    • Troubleshooting and escalating issues/concerns proactively, and developing appropriate and timely resolution plans
    • Researching, gathering, documenting, and synthesizing data as needed by the CIO or IT SLT
    • Developing and maintaining accurate reports and other documentation

    Perform key administrative functions to include:

    • Dealing with time sensitive and confidential information exercising tact, diplomacy, and discretion
    • Developing effective presentations and leading production coordination as needed (printing, binding, collating, emailing, and shipping)
    • Providing internal and external telephone/email support
    • Preparing and submitting expense reports: maintaining accurate and detailed records for CIO and IT senior leadership team
    • Supporting IT visitors
    • Managing IT supplies
    • Supporting IT site management including on-boarding, desk assignments, etc.

    MINIMUM REQUIREMENTS:

    • Bachelor or Associates degree and 3-5 years related experience, or equivalent combination of education and experience working directly for c-level executive required.
    • Strong proficiency in Microsoft Office software, specifically Outlook, Word, Excel, PowerPoint (creating decks), required.
    • Familiarity leveraging online collaboration tools (Microsoft Teams, Webex)
    • Outstanding organizational, problem-solving skills and critical thinking skills required.
    • Excellent verbal, written and communication skills, and proven ability to collaborate and interact with all departments and levels of the organization required.
    • Proven technical/computer skills within a business environment.
    • High level of demonstrated integrity and confidentiality.
    • Ability to manage short-term and long-term projects or initiatives.
    • Ability to work effectively in a self-directed, highly autonomous role.
    • Ability to multi-task, as well as work quickly, and accurately.
    • Demonstrate high level of initiative for both ongoing and new assignments.
    • Proactive approach to work, strong attention to detail, and confidence to introduce efficiencies to business/department operations.
    • Ability to think ahead and anticipate needs of the CIO and department.
