  • Responsibilities

    The Creative Jr. Project Manager objectives facilitates the internal workflow, manages client projects and oversees the operational processes to coordinate and release client work to production teams and/or vendors. In this role you will plan, organize, activate, and control the day-to-day workflow & process required within specific client database of the agency. Maintaining processes for the agency – maintaining current procedures and developing new procedures as necessary.

    The Creative Jr.PM is responsible for scheduling, monitoring, and tracking of the internal workflow for assigned clients and is responsible for positive internal/external client satisfaction. The Creative Jr.PM works above the specialist level – working on projects and liaising with other departments on behalf of the Creative PM. The Creative Jr.PM works with all employees levels in the agency to improve skills, team-up on special projects and learn new techniques necessary for project management.

     

    Required Skills

    ADMINISTRATIVE

    • Maintain Workfront protocol for project processing
    • Facilitate and oversee projects within the respective departments
    • Communicate with the Creative, Account Services, Studio, Development, Media departments regarding job status / job content / overall campaign objectives
    • Create estimates and Purchase Orders as required
    • Monitor incoming work as it arrives at the CPM department

     PRODUCTION:

    • Identify available resources and assign projects to creative and production staff
    • Schedule all jobs upon creative assignment
    • Update scheduled tasks throughout the day as tasks are completed
    • Review completed creative tasks against job requirements to ensure accuracy
    • Purchase stock photography according to E/P procedures
    • Process vendor invoices according to department and accounting procedures
    • Investigate project billing/payables as necessary

    CREATIVE PROJECT MANAGEMENT OVERVIEW

    • Plan, organize and control the day-to-day operational processes for large projects
    • Ensure that deadlines are met and that all related personnel are held accountable
    • Coordinate with the Broadcast Traffic and AdOps Team(s) regarding media schedules & required assets
    • Understand multiple project scopes (print, broadcast, digital)
    • Organize & participate in inter-departmental meetings to gauge production workload and stay consistently informed of all active and forecasted work
    • Establish & track chronology of dates/times for each step of a project’s workflow
    • Respond to estimate requests and create estimates under the responsibilities of the department
    • Evaluate and recommend resolutions to recurring problems, personnel conflicts, resource needs & general department processes
    • Develop & implement workflow procedures with department leaders
    • Assist with training CPM employees

    TEAM RESPONSIBILITIES

    • Prioritize and assign creative to work on projects upon arrival
    • Manage and maintain the WF dashboards
    • Distribute Job Opening & Change Log forms to assigned Creative(s)
    • Communicate with Account Services regarding job status/job content/overall campaign objectives
    • Help schedule and prepare materials for meetings.
    • Gain all necessary approvals to move projects forward.
    • Keep the flow of information open, honest, and transparent.
    • Report issues between account services, creative services, and/or production staff to supervisor and/or senior department managers
    • Enforce strict adherence to standardized procedures, such as the consistent application of naming conventions, file/folder organization, versioning control, etc.
    • Able to pull all reports in Workfront

    Required Experience

    • Bachelor's Degree in Marketing, Advertising, Communications, or relevant, equivalent experience
    • 4 years of work experience managing projects
    • Must be computer literate with proficiency in MS Word, MS Excel, MS PowerPoint, MS Outlook/Express, with the ability to learn new computer systems
    • Strong communication, negotiation, and conflict-resolution skills
    • Resourcefulness and adaptability
    • Understands how to communicate difficult/sensitive information tactfully
    • Commitment to continuous process improvement initiatives and ability to solve problems creatively
    • Poise and focused under pressure; inspires confidence to work independently and in support of department goals and business objectives
