    Job Details Title: Admission and Records Technician First Review Date: 08/30/2018 Salary: $17.41 - $21.16 per hour Job Category: FT-Classified Summary: Performs specialized clerical duties to support admitting and registering students for courses. Updates and maintains student records. Provides technical assistance and information to students, staff and the public regarding College services, programs, policies, and procedures. Distinguishing Characteristics: This is a partial leadership position is an advancement from Admissions and Records Assistant II. Advancement to this position requires the ability to allocate and oversee work in connection with processing and analyzing admissions applications, performing complex record changes, and analyze complex admissions such as those dealing with residency. Advancement beyond this level would be through promotion to supervisory or professional positions. Education and Experience: The position requires an Associates Degree or equivalent with emphasis in business studies. Requires two years of increasingly responsible clerical or record keeping experience within a college registration, school registration, or hospital admissions office. Qualifications: Knowledge and Skills: The position requires: Record keeping, general office, and clerical skills In-depth working knowledge of applicable college services, requirements, policies, and procedures governing admissions In-depth knowledge of computerized programs used for student information, including data entry techniques Sufficient organizational skills to organize, distribute, and review work in addition to maintaining current and accurate student files Sufficient human relations skills to convey information to new students and help resolve problems Sufficient math skills to compute totals from existing fee tables Abilities: Requires the ability to: Maintain a complete set of records and reports consistent with defined requirements Organize work flow to achieve efficient operations Interact with a wide range of contacts with courtesy and patience Maintain the confidentiality of student records and information Interpret a full range of policies governing admissions and student data Perform all of the technical clerical and record keeping duties of the position including operation of computer software programs designed for student information Physical Abilities: Requires: Sufficient ambulatory ability to retrieve work materials Sufficient hand eye coordination to recognize numbers, letters, and words; to use a typewriter style computer keyboard Auditory ability to carry on conversations in person and over the phone Visual acuity to recognize words and numbers Licenses and Certificates: May require a valid drivers license Duties: Coordinates, organizes, oversees, and provides assistance and information to students regarding admissions, registration, residency, records, enrollment, fees and other areas of student services. Instructs students on the correct ways to complete forms and applications; explains the applications, requirements and restrictions; reviews completed forms for accuracy and completeness Instructs Admissions and Record Assistants on the correct and complete information for applications and forms Processes application forms, reviews student records for changes in status, focusing on the more complicated transactions; analyzes and determines the status of applications and forms, referring problems or unique situations to a supervisor for assistance and resolution; notifies students of need for additional information Receives and processes all applications and related forms for international and non-resident students; may assign processing to others in the department Processes requests for transcripts, records and other information; researches erroneous or incomplete information on transcripts Enters application data onto a computerized student information system; makes residency determinations, computes and collects fees, and accounts for money collected Oversees and processes registration and enrollment changes; assures accurate posting of student fees collected or owed Responds to requests from other departments, educational institutions, and agencies involving the verification of student status and records; prepares and transmits routine correspondence for students, verifying student status and other information Ensures that student records are current by overseeing and updating demographic and vital information and posting grades and changes; stays abreast of students owing the college fees by holding transcripts and other records pending payment Reviews periodic reports, editing and correcting student files for conflicting or missing information; collects, compiles, and summarizes information to support report preparation Assists the Director in collection and preparation of data for mandated reports. Verifies fees received from all campuses and matches to registration/admission counts; approves and processes transactions such as refunds and overages Prepares and revises class lists for distribution to the appropriate sources Answers telephones and provides information and assistance as required Performs other duties as assigned that support the overall objective of the position Required Documents: Cover Letter, Resume/CV, Unofficial Transcripts (Degree Posted)
