    This person would serve as an assistant to the Program Director; the Director of Clinical Training; the MA in Clinical Psychology Program itself; the adjunct faculty of the Department of Marriage and Family Therapy in San Diego; and the students in the program.

     

    REQUIRED EDUCATION

    • BA required and some understanding of the MFT/ Psychology profession would be helpful.

     

    REQUIRED EXPERIENCE

    • Microsoft Office applications (Word, Excel, Powerpoint), as well as knowledge in FileMaker Pro software and the Peoplesoft Database. Ability to type a least 50 WPM.

     

    PRIMARY DUTIES/ESSENTIAL FUNCTIONS

    • Responsible for daily electronic timekeeping as it applies to the scope of this position.
    • Regular, punctual attendance as required by the supervisor based on department needs.

     

    DUTIES (ADDITIONAL TASKS TO BE DETERMINED AS NEED OCCURS):

    Assisting the MA in Clinical Psychology Program:

    1. Prepares class schedules for upcoming semesters. Coordinates schedule requests with faculty and regional campus, determines course sections needed based on student numbers, and submits schedules to Azusa campus prior to schedule submission deadline.
    2. Prepares and processes all curriculum changes and course additions for the MA program (in conjunction with Azusa staff).
    3. Helps plan seminars, workshops, community events, team-building experiences, and trainings hosted by the MFT program. This includes: scheduling classroom space with San Diego Regional Campus, sending out announcements, tracking RSVPs/registration, greeting/checking-in guests, ordering catering and setting up classroom for events.
    4. Maintains and updates Student Drive, shared MFT Calendar, and student database, using Excel, Google Drive, and FileMaker Pro.
    5. Files and maintains students’ academic and clinical files.
    6. Attends meetings at the main campus at the start of each academic year and as needed.
    7. Coordinates yearly Hooding Ceremony through day of event for graduates. This includes reserving space, sending out invitations, ordering catering, selling tickets, tracking RSVPs, preparing ceremony programs, setting up and tearing down during event.
    8. Schedules and assists with tri-annual comprehensive exams.
    9. Maintains alumni Linked-in Page and sends alumni job/training announcements.
    10. Coordinates yearly VOICES conference through day of the event.
    11. Annually sorts through graduates’ files and sends to Azusa for digitizing.

     

    Assisting the Program Director:

    1. Prepares for the New Student Orientation and Faculty Meetings held bi-annually.  Reserves rooms, emails new students and faculty, orders catering for event, copies and prepares paperwork and packets and sets up room.
    2. Prepares for admissions group interviews by reserving space, prepping interview documents, setting-up signs and room prior to interview, greeting interviewees, and distributing writing sample.
    3. Works with Program Director and Program Representative to plan MFT Informational meetings, preview nights and recruitment events.
    4. Distributes, collects, routes appropriately, and files student performance evaluations.

     

    Assisting the Director of Clinical Training:

    1. Distributes, collects, reviews, logs and files clinical placement paperwork (e.g. practicum agreements, BBS documents, clinical placement hours, evaluations, clinical affiliation agreements, supervisor information, and clinical placement site information).
    2. Maintains up-to-date approved sites on Google drive and site database, in conjunction with Director of Clinical Training.
    3. Sends Christmas cards to practicum site representatives.
    4. Coordinates yearly Resume/ Interviewing workshop, Practicum Preparation meetings, and Clinical Placement Orientation (in conjunction with Director of Clinical Training).
    5. Assists with organizing and planning of Practicum Fair annually. Emails save the date and practicum fair invitations to site representatives, coordinates with other schools if hosting a joint practicum fair, tracks RSVP’s, reserves space for fair, plans set up and orders catering for practicum fair. As well as, coordinating day of event, greeting guests, taking photos, and cleaning up.  Sends thank you cards to attendees after the event.
    6. Assists with the planning of and organizing of Supervisor Appreciation Day. Sends save the date and invitation, tracks RSVPs, orders catering, reserves space, prepares packets, sets up room, and distributes certificates of attendance.  After event, collects and sends required CE items to main campus and sends letters with Certificates of Appreciation to site supervisors who were unable to attend.
    7. Tracks and issues Certificate of Trainee Status for students advancing to traineeships (in conjunction with Director of Clinical Training).
    8. Assists with updating and distribution of Clinical Placement and Field Supervisor Manuals annually (in conjunction with Director of Clinical Training).

     

    Assisting MFT Faculty:

    1. Prepares contracts, honorariums, and extra service agreements for adjunct faculty each semester.  Works with HR and hiring staff to complete new-hire paperwork for new faculty and mails documents to the correct department once processed and signed.
    2. Makes textbook requests to publishing companies for desk reference copies, as needed.
    3. Provides clerical support for faculty. Such as: making copies of syllabi and class handouts, preparing class rosters, and routing student forms to correct department (e.g. enrollment activity forms, petitions, leave of absences, etc).

     

    Assisting MFT Students:

    1. Creates seasonal newsletter and sends out regular announcements to students.
    2. Tracks required graduation paperwork and sends out program certifications post-grad.
    3. Answers emails, phone calls, and in-person questions from students. Assists within scope of practice or directs questions/concerns to the appropriate staff member.
    • Performs other duties as assigned by the supervisor.

    • Ability to pull, push, bend, grasp, reach and lift up to 20 lbs.
    • Must be able to climb stairs multiple times in a work day.

    • Computer monitor and reading.

    COMPENSATION

    • Grade 7: $19.49 - $25.33/hour
