PROGRAM ASSISTANT II,PKG Public Service Center, to perform a variety of administrative duties. Will greet and assist visitors to the centers office space; use in-depth understanding of PKG and other MIT programs/resources to respond to inquiries; maintain the center calendar and inform staff of upcoming events/opportunities; assist with maintaining records, databases, and lists, including QuickBase apps; provide general administrative support, including telephone reception, conference room scheduling, and troubleshooting technology issues; serve as primary financial administrator and liaison to OVC financial services staff; process a range of financial transactions (e.g., requisitions, invoices, journal vouchers, requests for payment/reimbursement); stay current on Institute financial policies and procedures; schedule meetings and logistics for visitors and serve as PKG liaison to external speakers, guests, and partner agencies; ensure that informational and promotional materials are readily available and up-to-date; coordinate with the community engagement administrator to manage volunteer sign-ups and assignments for MIT volunteers and program participants; and provide basic advising and referrals to students who participate in PKG programs as well as other students who seek support. Job Requirements REQUIRED: at least three years events support, administrative, or related experience in relevant sector such as higher education, nonprofit, or international education; attention to detail; excellent organizational, interpersonal, and verbal and written communication skills; ability to prioritize/manage/track multiple priorities, meet quick deadlines, proactively determine needed actions, and adapt to rapidly changing priorities; collaborative work style; discretion with confidential information; MS Office proficiency; and demonstrated ability to use and proactively learn and adapt to new software/systems, including SAP and social media platforms (Facebook, Twitter, etc.).
