Office Coordinator Nutrition & Education International - Pasadena, CA OBJECTIVE: The Full-time Office Coordinator will manage office operational matters of this non-profit international development organization, based in Pasadena, California. The successful candidate will manage administrative and operational functions of the Office, support program management unit, and assist general bookkeeping functions of the accounting unit. The candidate will be learning international development through working together with the program and budget management groups. Nutrition and Education International (NEI) was founded in 2003 to address rampant malnutrition of Afghanistan which was a root cause to world highest mortality rates among women and children. Since then, NEI has been working with farmers, local governments and private sector to develop a sustainable soy value chain as a practical solution to defeat protein-energy malnutrition (PEM). In parallel, NEI has been providing humanitarian support to vulnerable populations, including pasteurized soy milk and soy naan feeding of school children in impoverished community, home poultry development with village women, and rural youth development in insecure provinces. Administrative Support Responsibilities * Oversees day-to-day office operations and administrative support such as: * Open, sort and distribute incoming correspondence (both post office & e-mail correspondence) * answering phones, organizing office * maintain and retrieve files, corporate documents, records, and reports * record keeping of all audio and visual items sent from the field where humanitarian and industry development programs are implemented to defeat malnutrition among women and children * Serve as a liaison & manage relationships between NEI and building management, vendors, other nonprofit & for-profit organizations and government organizations * Engage in community outreach activities for soliciting donors * Coordinate and assist staff/volunteer activities such as planning logistics, securing donated materials, creating/sending correspondence, catering, etc. * Comply and ensure staff/volunteers with applicable local, state and federal non-profit regulations * Provide administrative support to the program management and operation team including scheduling meetings & conference calls, arranging travel, creating expense reports and processing reimbursements for the management staff * Manage website update and posting new information * Manage database enter data, analyze information, and pull reports, * Issue monthly and quarterly e-news letter * Maintain office cleanliness * Assist to develop new operational procedures to build more efficient organization
