    Program Specialist 2 - PSNS - Business amp; Technology Salary $15.50 Hourly Location Multiple Locations, WA Job Type Part-time Hourly Department Business and Technology Job Number 18-19-P30 Closing 1/7/2019 8:00 AM Pacific * Description * Benefits * Questions Description Olympic College is seeking qualified Program Specialists to maintain and provide office support to the Business amp; Technology division office including the Puget Sound Naval Station (PSNS) and Olympic College constituencies. This position provides support for the PSNS Helper Program and Apprentice Program. It requires flexible scheduling to work days and evenings as needed as well as assignments at both the Olympic College Bremerton Campus and PSNS. Essential Functions * Promote the program to helper trainees during registration sessions and in classroom settings.* Monitor budget status in line with program activities, plans or priorities.* maintain program budgets, generate reports and initiate corrective action as needed* Provide information to students, staff, faculty and program participants including federal PSNS partners regarding program content, policies and activities* Independently purchase equipment and office and instructional supplies, with strict adherence to the federal contract in place between PSNS and the college, and college purchasing policies and guidelines.* Initiate security clearance requests with PSNS staff for Olympic College employees performing duties at PSNS.* Attend monthly Kitsap Economic Development Alliance meetings and annual events as required in the Small Business Purchasing Plan mandated in the college contract with PSNS.* Maintain and provide office support to the Bamp;T division office including PSNS and Olympic College constituencies, resolve problems and respond to inquiries.* Provide office coverage which can include day and evening shifts.* Establish and maintain complex electronic files.* Assist with faculty and part-time staff hiring paperwork and provide logistical information and support to new employees working on campus or in the Apprentice and Helper programs.* Coordinate with other Bamp;T division office staff to collect and audit faculty syllabi for compliance with college policy and follow division corrective processes.* Perform other related duties as assigned and/or required including, but not limited to, administrative support for the OC PSNS Program Manager, updates to the program calendar, office filing and correspondence and office coverage. Qualifications Minimum Qualifications * High School graduate or equivalent* Two years' experience in an administrative coordinator, program coordinator or similar role* Successful purchasing and budget experience including projections, monitoring and maintenance of accurate records. Preferred Qualifications * Two year degree from an accredited college* Experience working in a community college and/or state or federal government agency Physical Requirements * Must be able to make one's way, up to ½ mile, through an industrial setting and/or rough terrain to reach job site Successful applicants will be able to: * Have Intermediate knowledge of Microsoft Office with emphasis on Excel, Word and Outlook* Work independently with little direction and exercise sound judgement* Work effectively in a position that requires the ability to prioritize competing demands and responsibilities* Demonstrate strong interpersonal and problem solving skills* Function as a team player* Understand when and how to escalate student and faculty concerns to a higher level* Establish and maintain effective working relationships* Demonstrate an understanding of and commitment to the Olympic College mission and diversity and learning-centered climate* Demonstrate excellent oral and written communication skills* Follow campus regulations as well as local, state and federal regulations and ordinances.* Multi-task in a potentially noisy environment with frequent distractions and interruptions while completing tasks accurately with attention to detail* Exercise appropriate initiative Special Skills /Knowledge /Abilities: * Must be able to gain security clearance to work in a controlled industrial area, including a federal criminal background check and proof of identity and documentation of U.S. citizenship with either a U.S. Passport or state issued U.S. birth certificate, or original naturalization papers.* Web site management* Computer research skills to support the needs of the helper and apprentice program administration and faculty.
