    Job Description

    Position Summary:

    The Marketing & Communications Coordinator will report to the Associate Director of Marketing. They will work closely with the Marketing and Public Relations team and the broader Communications Department to promote all aspects of Ravinia’s mission and concerts.

    Duties and Responsibilities:

    • In collaboration with internal Communications team—and, as needed, artist managers, agents, and publicists—collect and organize artist collateral
    • Monitor and collect press clippings and coverage, compiling weekly recaps of press and marketing efforts
    • Prepare media alerts and conduct contact research, including target journalists, media outlets, online influencers, and potential brand and marketing partners
    • Obtain post-concert photo approvals from artists or relevant internal or artist stakeholders, __ compile photo folders, and assist with digital asset management
    • Support the Marketing team’s initiatives with the planning, executing, and tracking of promotional programs such as paid/trade, press, email, event, social media, off-site activations, or content marketing __
    • Maintain department calendar, including scheduling meetings/events, updating and circulating agendas, and taking meeting minutes
    • Track, organize, and file department invoices and expense reports
    • Participate in summer Concert Duty responsibilities, including attending security meetings, capturing in-park experiences/moments, and greeting/supervising media
    • Assist Marketing team with digital analytics collection and reporting via Sprout Social and native systems on Facebook, Instagram, X, TikTok, YouTube, and LinkedIn
    • ­Special projects and other duties as assigned
  • Qualifications

    Qualifications

    Knowledge and Skills Required:

    • Ability to interact well with a variety of people, handle multiple tasks simultaneously, and work well in a team environment
    • Excellent project management, organizational skills, and attention to detail; experience with Project Management systems such as Monday.com is a plus
    • Strong written and verbal communication/presentation skills and research abilities
    • Familiarity with the music industry—especially the nonprofit performing arts world—a plus
    • Basic knowledge of traditional and digital marketing, content marketing, and social media marketing
    • Proficient in or can learn Google Workspace
    • A sense of collaboration, strong interpersonal skills, and interest in professional growth

    Work Experience and Schedule:

    • Bachelor’s degree in Marketing, Communications, or a similar field; or equivalent combination of education and work experience
    • Required to work many evenings and weekends throughout the summer concert season
    • Primarily work in an office environment to fulfill key onsite duties and responsibilities with interdepartmental teams and independently
