    Job Description

    The Artist Services Manager reports jointly to the Artistic Producer and Senior Artistic Producer and is responsible for assisting them with fulfillment of all artistic service requirements and handling concert duties for Ravinia's classical, chamber, and family concerts throughout the year. The Artist Services Manager is an important member of the Artistic and Production team and works closely with Marin Alsop (Ravinia's Chief Conductor) and the Chicago Symphony Orchestra, in addition to guest artists. Key responsibilities include managing all aspects of travel and accommodations for Ravinia's performing artists, assisting in planning the season, and ensuring performances and rehearsals run smoothly from beginning to end.

    CONTRACT MANAGEMENT

    • In collaboration with Artistic Producers, drafts, reviews, administers, and tracks contracts for classical, chamber, and family concert artists.

    • Obtains necessary payment and tax documents from artists.

    • Assesses artist hospitality and technical riders with Production and stagehands.

    • Distributes hospitality and technical riders to appropriate departments for advancing.

     

    CONCERT ADVANCING

    • With Artistic Producer, coordinates itineraries including travel, hotel, rehearsals, conductor soloist meetings, and other artist involvements.

    • Creates and distributes classical and chamber artist itineraries to artists and agents. 

    • Manages and fulfills artist ticket requests in collaboration with Artistic Producers.

    • On occasion when necessary, develops run of show, stage plots, instrumentation lists, and other planning documents for classical, chamber, and family concerts.

     

    TRAVEL AND ACCOMMODATIONS

    • Arranges flights and accommodations for visiting artists and staff based on contract obligations. 

    • Communicates travel and hotel information to production/artistic team, individual artists and representatives.

    • Maintains visiting artists flight and hotel database.

    • Tracks, reviews, and processes airfare purchases and hotel invoices and submits final fiscal year travel report to Finance.

    • Manages Ravinia's airline sponsored account and flight bookings to ensure the most cost-effective rates.

    • Cultivates and maintains positive relationships with local and downtown hotel partners.

    • Negotiates room rates for individual hotel bookings and group bookings.

    • Oversees ground transportation for classical and chamber artists with Production Coordinator.

    CONCERT PRODUCTION

    • Shares Concert Duty responsibilities with artistic and production staff for classical, chamber, and family concerts, both in-season and off-season.

    • Serves as stage manager for visiting ensembles and CSO guest soloists and conductors.

    • Creates and distributes classical concert day sheets including crew calls, rehearsals, piano tunes, backline and concert details.

    • Assists in selling artist merchandise and providing artist ground transportation as needed.

    ARTISTIC/PRODUCTION ADMINISTRATION

    • With Artistic Producers, researches and assists the programming of the family concert series. 

    • With Operations Manager, attends Career Fairs, recruits seasonal staff, and interviews production staff.

    • Shares reception desk responsibilities with Operations Manager during the off-season.

    EDUCATION AND EXPERIENCE

    • BA in Music, Music Administration, or related degree/experience
    • A good degree of knowledge of classical music repertoire and artists
    • Minimum 3 years of previous applicable work experience at an arts organization
    • Performance experience is a plus

    Additional Information

    SALARY: $50,000
