    Job Description

    The Department of Psychology at the University of Notre Dame, within the College of Arts & Letters, is seeking a highly organized, detail-oriented, and collaborative Research Coordinator to support the administrative and financial operations of research activities within the department.

    This role plays a critical part in ensuring the smooth execution of research initiatives by providing administrative support, financial coordination, and compliance oversight. The Research Coordinator will work closely with faculty, principal investigators, and central administrative offices to manage budgets, track deadlines, and support grant-related processes.

    Key Responsibilities

    Research Coordination & Administrative Support

    • Provide administrative support for faculty research activities and projects
    • Track deadlines for proposals, reports, renewals, and compliance requirements
    • Support regulatory and compliance processes, including audit documentation
    • Serve as a liaison between faculty, departments, and central administrative units
    • Assist faculty with processing research-related expenses
    • Maintain accurate documentation, timelines, and reporting related to research activities

    Financial Management

    • Support monitoring of faculty research accounts, including restricted and grant funds
    • Track spending across accounts (discretionary, endowed, restricted, and sponsored funds)
    • Process expense reports, reimbursements, purchase orders, and travel expenses
    • Assist with budgeting and financial tracking to ensure compliance with university policies
    • Support stewardship reporting and communication with development partners
    • Collaborate with department leadership to prepare financial reports and summaries

    Department Liaison & Grant Support

    • Serve as the primary liaison to Notre Dame Research (NDR) and Corporate Relations
    • Coordinate dissemination of grant-related information to faculty
    • Support pre-award and post-award processes in collaboration with central offices
    • Ensure timely reporting and compliance with grant requirements
    • Facilitate communication between faculty and institutional partners

    Projects & Strategic Initiatives

    • Contribute to special projects and departmental initiatives
    • Support coordination and execution of strategic priorities
    • Assist department leadership with additional administrative and research-related tasks as needed

    Qualifications

    Education & Experience

    • Bachelor’s degree
    • Experience working with budgets, financial systems, or financial management platforms
    • Ability to track multiple deadlines and manage complex timelines
    • Strong organizational skills and attention to detail
    • Excellent communication skills and ability to collaborate across diverse groups

    Preferred

    • Familiarity with sponsored research administration, compliance, and reporting
    • Experience with fund accounting and grant management
    • Experience in academic, research, or corporate relations environments
    • Knowledge of pre-award and/or post-award grant processes
