RISD is seeking a Faculty Recruitment and Development Coordinator to join its Provost Office. Under limited direction, The Faculty Recruitment & Development Coordinator provides a wide variety of administrative and logistical support for essential and key recurring functions for faculty development programs and Academic Affairs offices. Evaluates, recommends, and revises, as approved, processes and recruitment avenues to support mission and recruitment of a diverse faculty. With an in-depth understanding of RISD processes, projects cycles, and systems, independently coordinates logistics for faculty searches, communications, and scheduling of meetings and interviews. Serves as an expert user (power user) of RISD electronic application system. Maintains and update faculty information through the electronic applicant system and train end users on the same. Responsible for maintaining an awareness of RISDs calendar of events and cyclical planning needs in order to schedule faculty and other committee meetings, helps ensure activities and projects stay on point, and maintains records as appropriate. Organizes and maintains document files as needed and prepares materials for college archives as appropriate. Provides administrative support for faculty development programming and for academic advising initiatives. Provides administrative support for the Faculty Steering Committee. Essential Functions/Duties 1. Responsible for timely coordination, communication, and logistical support for essential recurring functions in Academic Affairs. These responsibilities include but are not limited to full-time faculty searches, faculty development programming and academic advising initiatives, and the Faculty Steering Committee. Research, evaluate, recommend implement, and modify processes and tools for these functions. 2. Document, apply, and educate others on faculty search policies and practices. Manage and post position announcements with advertising agencies. Develop and implement resources and tools for effective faculty searches, and provides guidance to faculty search committees on effective procedures and compliance with policies. 3. Provide administrative support for a variety of committees as directed by Manager, including the Faculty Steering Committee (i.e., schedule meetings, work with committee chair on communication, take minutes as needed, maintain documents for the committee that records its work and will subsequently be preserved in the College Archive). 4. Responsible for the logistical planning and administrative support of sabbatical presentations, faculty workshops, lectures, and initiatives that are directly sponsored by Academic Affairs. 5. Sabbatical Presentations & Publications: Gather, organize and archive publications, materials and learnings related to faculty sabbaticals and presentations. Ensure information is easily accessible and identifiable in order to help promote and market RISDs reputation. 6. Frazier Award: Provide administrative and logistical support to the Frazier Award Committee, and award nomination and review process. (i.e., schedule meetings, work with committee chair on communication, take minutes as needed, maintain documents for the committee that records its work and will subsequently be preserved in the College Archive. Job Qualifications Required Bachelors degree or equivalent combination of education and professional experience. Three to five years of administrative support experience in a dynamic, deadline oriented environment. Excellent listening, comprehension, and writing skills mandatory. Excellent verbal communication skills required. Facility with the Microsoft Office Suite required. Experience with Google Apps for education, ERP systems (Datatel/Colleague), and Wordpress desirable, but not required. Demonstrated ability to efficiently and effectively schedule large complex recurring meetings with multiple participants and dynamic calendars. Demonstrated experience creating efficiencies in processes or systems. Demonstrated analytical skills and strong attention to detail. The ability to anticipate needs and to work independently, and as part of a team, is essential. Ability to provide direction and or guidance to work study staff. Ability to provide support to multiple diverse audiences with varying needs. Ability to understand processes and project time frames in order to interpret scheduling needs and dependencies. Job Qualifications Preferred Pre-employment Requirement The successful candidate will be required to meet our pre-employment background screening requirements. Other than regular hours (typically 8:30 am to 4:30 pm, Mon-Fri.)
