    This position is located in Budapest

    The Administrative Assistant is appointed by the Director and is responsible to the Director (and also the Grade-Level Principals) to carry out all duties related to organization, coordination, and communication related to the school, as assigned.

    Yearly Schedule and Hours:

    Full-time or part-time, as agreed upon at the start of the year. The annual work schedule should begin before the “New Staff Orientation,” and the earlier the better. The annual work schedule ends several days after graduation, when the “summer hours” officially begin. Summer office hours will be determined by the Director in cooperation with the Executive Secretary; based on summer availability, furlough in the United States, etc.

    Duties:

    • Receive and complete all secretarial assignments from the administration (Director and Grade-Level Principals) as time allows. Communicate with administrators when there is a competing need for work done to determine priority.

    • Help publish & distribute the Handbooks (Staff, Parent/Student, etc.)

    • Facilitate the collection of HS forms from students (Acceptable Use, Photo Release), keeping a check list of those received.

    • Oversee the creation of the “Messenger,” and other school communications. (Daily Bulletin)

    • Create and manage various telephone and email lists (including Emergency Phone List, Staff List, Staff Directory, Family Phone List, etc.) to ensure effective communication.

    • Manage personal/staff position email account and communicate messages to faculty, staff, students, and families as needed.

    • Oversee the administration of the Pizza Hot Lunch (may delegate this to others).

    • Organize and administer the distribution and maintenance of locker keys for the HS.

    • Help Grade-Level Principals with Sycamore Educational website and print and distribute progress reports and report cards as requested.

    • Maintain the Faculty/Staff Birthday List.

    • Be familiar with HS class schedule charts for Faculty and Students.

    • Ensure that HS staff workroom has adequate office supplies.

    • Serve as one of the primary “public faces” of the school, including an attitude of welcoming and serving, and keeping the office area orderly and inviting.

    • Assist the Director by serving as a hostess for the school – providing coffee, snacks, gifts, etc. for visitors and meetings.

    • Be available to make photocopies for HS teachers during school days when there is an unavoidable need for help.

    • Assist with distribution of materials to ICSB School Board members as needed.

    • Maintain secure staff records in filing cabinets according to the guidelines for the protection of privacy and information (see “School Policies and Procedures”). Protect the confidentiality of staff records and files.

    • Maintain an effective office filing system, both physical (in the cabinets) and electronic (in the computer system).

    Accountability: The Administrative Assistant reports directly to the HS-Vice Principal (but serves all of the Grade-Level Principals), and will receive an annual performance review from the Director.

    We offer some assistance for teachers who come for two years or more. If you have school loans you are paying off, we contribute $2,400 per year to your loan agency, for every year that you are here (i.e., if you stay for 4 years, we pay $2,400 per year for all 4 years, etc.). If you don’t have school loans, we do offer a small stipend of $2,000 per year for every year that you are here.
