Job Description
Academic Operations is seeking a temporary coordinator to provide support for the Academic Operations team on regular academic cycles. This position will work closely with the Assistant Director of Academic Operations and the Academic Operations Coordinator, as well as various members of the Graduate Student Life team and other cross-functional team members in the Mendoza College of Business.
Job Overview:
This position will perform a wide range of administrative support functions, including but not limited to:
Data entry
Provide administrative support for residency and immersion programs
Documentation for scheduling and calendaring
Audit process for academic information and records
Additional ad hoc support where needed for cross-functional team partners such as facilities, events, student services, and Mendoza IT
This position will work directly with the Academic Operations team to support regular academic operational cycles, including academic calendars, course schedules, final exams, room reservations, and registration. These responsibilities will include data entry, auditing of academic information, administrative responsibilities, and regular office tasks.
Working arrangements:
This position will work within Google workspace and a variety of other academic systems. Coordinators will collaborate regularly and extensively with other staff teams and faculty regarding academic information necessary for external team operations. Other work arrangements likely include working in a co-working space in a cubicle.
Qualifications
Minimum Requirements:
Associates degree or equivalent experience.
Ability to understand FERPA, its implications for practices and procedures and commitment to comply.
Ability to participate as part of a team and also work independently.
1-2 years experience in an office environment, preferably in a higher education setting.
Ability to manage multiple tasks simultaneously.
Excellent communicator, including writing and editing skills.
Proficiency in word processing, Microsoft Office Suite, Google Workspace.
Preferred skills or education:
Experience at a university and/or customer service skill.
Experience with databases, data entry, and/or documentation.
Experience with writing, editing, and/or graphic design.
Required availability: This position is not available for weekend hours. Hours are flexible depending on the agreed schedule with the supervisor. Some flexing of schedule may be required to support program needs.
