Required Education and Experience: * Bachelors degree or equivalent combination of education and experience * Three years of related experience in general office, accounting, or personnel operations Required Knowledge, Skills, and Abilities: * Ability to multi-task and work cooperatively with others Responsibilities: * Creates and reviews complex traveler expense reports in Concur for Large Animal Clinical Sciences. Maintains the knowledge base necessary to accurately answer and assist in the resolution of employee questions related to scanning and uploading receipts, adding descriptions, classifications, and account numbers. Proposes solutions to complex financial problems. Maintains knowledge of travel rules and receipt requirements. Serves as the backup for travel in Small Animal Clinical Sciences. * Serves as the HR liaison for Small and Large Animal Clinical Sciences. Serves as the backup to other departments within the College for HR/Payroll duties. Coordinates personnel activities of the unit. Coordinates onboarding and training of new employees including grad students, student workers, staff and faculty. Serves as the leave administrator. Initiates and assists with the new employee process including VISA processing, recruiting, hiring, and onboarding. Provides general Human Resource information. Trains staff on new and existing business procedures and interprets policies and regulations for staff. Audits and submits biweekly and monthly time. Creates positions in Workday for all new faculty. Creates and posts research personnel positions through the Vice President for Research's office, as well as, onboarding these personnel once approved. Serves as the departmental parking representative for Large Animal Clinical Sciences to request new parking permits for employees, renew current permits, as well as, renewing department permits and parking spaces. Plans, develops, implements, coordinates, and monitors parking services for Large Animal Clinical Sciences. Requests security access for employees in Large Animal Clinical Sciences through the facilities office. Manages and oversees performance management activities and reporting. Responds to inquiries from employees and supervisors regarding performance management. Disseminates performance management related deadlines and instructions. Serves as the liaison with the main campus Employee and Organizational Development as needed. Coordinates fiscal activities for closing accounts or for when terminating employees. Communicates cash handling procedures, audits and approves cash handling activities, and coordinates unit purchasing activities. Composes routine correspondence. Recommends, implements and audits HR and travel business procedures. * Develops, monitors, and reports budget activity. Pulls grant budgets from Maestro to track end dates as well as salary amounts and employees budgeted on grant. Assists with administration of grants. Works closely with the Business Administrator I to ensure work on grants is properly reflected and accounted for. Assists with time and effort certification each fiscal year. * Serves as the file manager for all financial files. Maintains business files. Scans and organizes documents in LaserFiche. Responsible for following the records retention schedule for financial documents. * Develops complex financial and statistical analyses and summary reports for supervisor. * OTHER DUTIES: Performs other duties as assigned.
