Yes Hours of Work 8:00AM-5:00PM M-F Position Details Position Information Posting Number TSU201981 Official TSU Title HR Records Specialist Grant Title N/A Job Description Summary / TWC Summary Under general supervision, performs record management functions for the Universitys personnel records and files in compliance with University and legal requirements. Conducts research to calculate prior state service. Ensures record retention activities comply with University policies, operating standards, legal requirements, and regulations. Essential Duties Summary Serves as lead to temporary assistants and student workers in records and retention area to guide record retention activities. Receives, sets up, retrieves, maintains, and stores personnel files in the electronic records management system in accordance with established policies and procedures. Ensures compliance with policy regarding the retention, dissemination, access, and storage of confidential information. Verifies employment and completes legal inquiries and other types of requests for employee data. Completes Name/Address Changes for employees. Enters verified data into Human Resources Information System ( HRIS ). Conducts research from hard copy files to compile information necessary to calculate prior state service. Oversees the work of students assigned to the Records section. Serves as back-up for the front desk receptionist. Maintain the Records Unit Master database. Respondent to Texas Workforce Commission claims. Performs other job-related duties as assigned. % FTE 100% Hiring Range Commensurate with experience Education Some college or Associate Degree (A.A.) and/or vocational or technical school and/or specialized training or certification. Required Licensing/Certification N/A Knowledge, Skills, and Abilities N/A Work Experience Requires one to three years of related experience. Requires a working knowledge of standard practices and procedures. Leadership/Supervisory Responsibilities May provide work leadership and direction for students and/or employees as requested by department management. Work Complexity/Budget Authority Tasks are multiple and focus more on single processes. No responsibility for budget, revenues and expenditure authority. Independent Judgment/Decision Making/Problem Solving Skills Performs duties within scope of general University policies, procedures and objectives. Analyzes problems and performs needs assessments. Uses judgment in adapting broad guidelines to achieve desired result. Regular exercise of independent judgment within accepted practices. Makes recommendations that affect policies, procedures and practices. Refers exceptions to policy and procedures to the supervisor. Personal/Organizational Contacts Regular contact with others, including students, general public, visitors and University personnel. Purpose of contacts is to explain, clarify or interpret information. May handle confidential information and some complex matters. Customer Service Relationships Requires moderate interpersonal and communication skills to ensure that customer requests or needs are met. Acknowledges and clarifies customer inquiries, requests, or complaints to ensure that needs are identified, documented and addressed. Working/Environmental Conditions Work is performed within routine office environment with no exposure to hazardous or unpleasant conditions. Physical demands are usually limited to sitting or standing in one location much of the time. Some stooping, lifting or carrying objects of light weight may be required.
