With minimal direction, the Administrative Assistant for Global Patient Safety will be responsible for performing routine administrative and clerical functions for the Head of Partnerships and Strategic outsourcing and the US Patient Safety team members. Responsibilities: * Organizing and scheduling meetings and appointments

    • Proactively managing calendars and schedules * Supporting onboarding and offboarding of local employees * Setting up Purchase Orders and manage invoices as needed * Assist with department forecasts and budgets
    • Ordering office supplies as necessary * Booking / organizing domestic and international travel (transportation, accommodations, global visas, passport renewals, development of itineraries, etc.) * Expense reports for ~20 local employees * Arrange conferences and meetings as needed * Coordinate office space, equipment needs, and meeting rooms as needed * Make independent decisions regarding attendance/conflicting meeting requests, etc. * Serve as a resource as needed for administrative aspects including development of PowerPoint presentations, budgeting needs, contract support, etc. * Operate office equipment such as fax machines, copiers, and phone systems; use computer for spreadsheet, word processing, database management, and other applications including SharePoint * Create internal and external presentations, letters, e-mails, etc. and be familiar with processes associated with external communication (SOPs). * Prepare team meeting agendas and meeting minutes. * Maintain Global Patient Safety job descriptions and resumes and provide monthly compliance metrics * Assist with the maintenance of SharePoint site for Global Patient Safety and Pharmacovigilance awareness (creating subsites, uploading documents, creating surveys, etc.) * Complete other duties, responsibilities and projects as assigned. Education and Experience: * Bachelors degree required, equivalent experience in lieu of a degree may be considered in certain cases. * 3-5 years of experience as an administrative assistant supporting a minimum of 5 employees preferably in the pharmaceutical or other health-care related industry. * Experience with international colleagues, coordination, and travel. * Familiarity with pharmaceutical business, medical terminology and financial/business terminology a plus.
    • Ability to handle confidential information. * Experience with reviewing contracts a plus. * High level of proficiency in Microsoft Office Suite including Powerpoint, Excel, Word, and Adobe; proficiency with CONCUR and MobileXpense systems; proficiency with SharePoint/collaboration sites. * Knowledge/understanding to operate office equipment proficiently (e.g. fax, copier, scanner, etc.). Competencies * Ability to work independently. * Ability to provide quality work within agreed timelines with strong attention to accuracy and detail. * Ability to work within an international team environment and on occasion, outside of typical United States business hours. * Ability to prioritize, organize and plan workload to anticipate issues and problem solve. * Excellent written and verbal communications skills in English. * Ability to successfully operate in matrix environments. * Creative out of the box thinker with conceptual strengths, who will challenge the status quo to improve and deliver results with minimal direction. * Excellent interpersonal skills. * Personality traits of being a self-starter (self-motivated), who is curious and agile, with a nothing is impossible attitude. * Comfortable in dealing with ambiguity and changing-environments.
