We are seeking a passionate and student-focused individual to join our collaborative and creative team as the Undergraduate Studies Coordinator in the Department of Film, Television, & Theatre.
About the Position
The Undergraduate Studies Coordinator plays a vital role in supporting the academic success of FTT undergraduate students and ensuring the smooth operation of the department’s undergraduate program. Reporting to the Chair and Director of Undergraduate Studies, this role combines student support, academic coordination, event planning, and administrative duties.
Essential Duties & Responsibilities
Academic Program Coordination
Assist with academic scheduling for undergraduate courses (CourseLeaf, Banner, Undergraduate Bulletin, Summer Session, etc.).
Manage course registration processes, study abroad approvals, grade changes, and override codes.
Provide guidance to prospective and current FTT majors regarding courses and major requirements.
Update advisor assignments, student records, and prepare visit itineraries and information packets for prospective students.
Administrative and Office Support
Serve as the first point of contact for departmental visitors, calls, and inquiries.
Maintain department email lists, schedule rooms, and manage office supplies and mailings through BuyND.
Coordinate undergraduate recruitment events, receptions, guest speakers, and other departmental activities.
Liaise with campus partners including the Registrar’s Office, TravelND, Catering, and external vendors.
Student Employment Oversight
Hire, train, and supervise student office assistants.
Assign daily tasks, manage work schedules, and ensure timely completion.
Review and approve timesheets in UltraTime.
Other Duties
Attend departmental and College of Arts & Letters staff meetings.
Support additional projects and assignments as needed by the department.
Qualifications
1–2 years of related administrative or academic coordination experience.
Strong interpersonal and written communication skills.
Advanced clerical and business office skills.
Proficiency with Microsoft Word, Excel, FileMaker Pro, and web-based tools.
Ability to work independently with minimal supervision.
Excellent organizational skills, attention to detail, and problem-solving ability.
Experience in higher education or university settings is a plus.
Familiarity with Banner, TravelND, BuyND, or similar systems preferred.
Mac and PC proficiency preferred.

Hiring Pay Range : Up to $23/hour
Schedule: This is a 10-month position, typically working August through May, with June and July off.
