    The Gerald R. Ford School of Public Policy is one of the nations top policy schools. Our mission is to offer outstanding education for leadership in public policy analysis and public management and to excel in social science research that illuminates public policy issues and promotes better public policy. The Ford School seeks applications for our part-time Administrative Assistant within the Education Policy Initiative. The Education Policy Initiative conducts a wide range of research and outreach activities in addition to predoctoral and postdoctoral fellow traineeship programs and other student-focused activities. The Administrative Assistant provides administrative and event planning support for the initiative. Please Note: A cover letter and resume are required for consideration for this position. This is a part-time (20 hours per week) position. The regular schedule will be during the week, primarily between the hours of 8am and 5pm. The ability to occasionally work evenings to help cover events is preferred, but not required. We will work with the selected applicant to create a regular schedule that best fits their needs and the needs of EPI. Responsibilities* Administrative and Research Support: Handle meeting scheduling and hosting, travel reservations, travel expenses, and trip itineraries, collect and reconcile all purchasing card documentation, and manage routine reimbursements of business expenses for the group; Provide logistical support for operational needs, such as computing, printing, equipment purchasing and maintenance, office supply ordering; setup and maintenance of all necessary files. Coordinate purchasing, vendor payments and relations. Provide administrative support to grant reporting, data security procedures, Institutional Review Board applications and continuing reviews, and Unfunded Agreements. Events Coordination / Outreach: Coordinate events and meetings, including major conferences, speaker series, panel discussions, seminars, and planning meetings. Provide hands-on event support and overall coordination of event logistics, including invitations, RSVPs and registrations, room reservations, travel and lodging arrangements, agendas, meeting materials and packets, promotional materials, meals and refreshments, audio/visual solution coordination, expense reimbursements, meeting minutes and documentation; Contribute to website, online resources, outreach efforts, and mail list in coordination with the Associate Director and communications and outreach offices; Assist with tracking and reporting on outreach and dissemination activities and impact. Other duties as assigned. This position reports to the Associate Director and may supervise temporary employees and students. Required Qualifications* An associates degree and at least two years of administrative support experience or the combination of education and experience that enable the performance of all aspects of this position. Strong computing skills, including proficiency with Microsoft Word, Excel, PowerPoint, and the ability to learn new software applications quickly. Ability to manage a large and diverse workload with attention to detail and the ability to meet deadlines in a timely manner. Capacity to exercise initiative, independent judgment, diplomacy, and confidentiality with a positive service-oriented attitude. Excellent organizational and interpersonal skills including the ability to work cooperatively with staff in various offices at the Ford School and throughout the University of Michigan. Excellent verbal and written communication skills, including spelling, grammar and punctuation. Desired Qualifications* A bachelors degree, preferably in business administration, economics or another social science discipline. Proficiency with University of Michigan information technology enterprise systems such as M-Pathways (PeopleSoft), Business Objects, Concur and M-Reports. Knowledge of University of Michigan rules and regulations for business operations and sponsored projects. Experience with events planning and management. Experience with general website design and maintenance. Experience or demonstrated interest in education and/or education policy.
