SUMMARY:
The Administrative Specialist provides operational and administrative support to the Associate Provost for Faculty (40%), Associate Provost for Academic Integration (40%) and Senior Director of Finance and Operations (20%).
The position is responsible for oversight of assigned project portfolios, which include management of a range of high-visibility University events, faculty workshops, and other initiatives, often independently and with minimal supervision.
RESPONSIBILITIES:
PROVIDES PROJECT MANAGEMENT OVERSIGHT TO THE OFFICE OF THE PROVOST:
- Provides planning, implementation, and oversight for a range of high-visibility Provost Office initiatives
- Oversees the operational and logistical aspects of a range of faculty activities, including colloquy, faculty orientation & mentoring programs, Faculty Learning Committees, mid-career faculty summit, and annual tenure & promotion celebration
- Coordinate biennial faculty Hiring, and Diversity and Search Advocate workshops
- Oversees academic program reviews, which requires high-touch coordination of external reviewers and university stakeholders, as well as the collation financial and operating data for each review
- Oversee logistical requirements for other ad hoc events: venue, scheduling, technology, catering, etc.
- Collaborates and communicates with campus partners, ensures appropriate follow-up, and facilitates resolution of pending matters
- Builds relationships across campus, develops and cultivates professional networks and builds community among stakeholders
- Conduct ad-hoc research and analyses
- Perform other tasks as assigned
PROVIDES ADMINISTRATIVE SUPPORT TO OFFICE OF THE PROVOST:
- Provides calendar management for both Associate Provosts, including the coordination of monthly meetings with Associate Deans from across the University, the Faculty Fellows program, and the Data Science Committee
- Facilitates routine funding requests and budget transfers
- Manages faculty course enhancement grant process
- Processes standard accounting, HR, and Banner forms/entries
- Provides general office support, including records/Box management,
- Provides back-up support for the Executive Assistant to the EVP & Provost
QUALIFICATIONS:
- Demonstrated ability to handle multiple projects with conflicting deadlines
- Excellent time management, organizational skills, and the ability to manage changing priorities effectively and efficiently
- Effective project management skills including the ability to anticipate potential project need and take initiative as appropriate
- Ability to work collaboratively in a team-oriented and fast-paced environment
- Demonstrated ability to recognize where efficiencies can be made, and to implement and manage such solutions
- Interpersonal communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
- High degree of sound judgment, and tact and discretion when handling confidential information
- Excellent writing, editing, and proofreading skills
- Proficiency in Microsoft Office, especially Outlook scheduling functions
EDUCATION & EXPERIENCE:
- Bachelor’s degree preferred; 3-5 years of experience providing administrative and event management support; experience in higher edu
WORK HOURS:
- Full-time, non-exempt position
- Monday – Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
SALARY STRUCTURE:
Pay Grade 5 - SALARY COMMENSURATE WITH EXPERIENCE
