DESCRIPTION UW Bothell Division of Student Affairs collaborates with students in providing services and opportunities which fosters student engagement, holistic well-being, personal and professional development, leadership, and experiential learning. As part of the Division of Student Affairs, Career Services aims to empower UW Bothell students and recent graduates to explore majors and careers, build professional skills, and connect with the employment and graduate school community. In serving individuals across majors and interest areas, we collaborate to provide guidance and resources for students as they develop professional competencies essential for lifelong success. Through curriculum integration, targeted programs, and personalized advising, we aim to infuse career exploration and experiential learning into students daily lives, as well as provide support in articulating their unique set of skills and experiences to future employers, admissions committees, and beyond. Additionally, Career Services focuses on building strategic relationships with alumni, employer partners, and community members. Our goal is to open doors and create opportunities for students and graduates to define and deepen their professional interests, which will ultimately allow them to contribute to UW Bothells regional, national, and global impact. This team member will help Career Services strategize, implement and maintain practices related to internal and external communications, event execution, and budget reconciliation. Specifically, this person will lead Career Services in continuous improvement of our Website to meet the needs of students, alumni, and community members. They will also serve as an in-house coordinator of our event calendaring practices, across a number of technologies. Direct communication with students, staff, employer partners, faculty, and community members will be a regular responsibility of this team member, and they will help to execute a number of successful student and alumni-focused career events and programs throughout the year. The team member will reconcile all department budgets, compile fascial records, and assist in compliance with University policy. We are seeking an individual with excellent written and verbal communication skills, experience with technology (web design, Microsoft Office and Outlook, databases and CRMs, and other UW-specific systems), and a customer service focus. Successful candidates will be both creative and have strong attention to detail, as well as relevant experiences with time management and adaptability. This position has multiple competing work demands and requires well-developed prioritization and organizational skills, and ability to work independently and within a team. RESPONSIBILITIES * Serve as primary project manager and strategic lead for Career Services Website review, renovation, and maintenance; liaise with campus colleagues in IT, Marketing and Communications, Advancement, Student Affairs, and other stakeholders for continuous improvement for a dynamic and user-friendly experience. Attend Campus Communication Committee meetings to ensure Website compliance with University guidelines and branding; and educate career service staff on University-wide communication best practices. * Coordinate calendaring and capturing program statistics across platforms for program activities such as career fairs, networking events, workshops, employer information sessions and tabling, and classroom presentations; consult with staff members on best practices for streamlining and ensuring accuracy in office event calendaring and statistics gathering. * Assist in communicating with Student Affairs graphic designers working on projects and campaigns for Career Services throughout the year; review and make recommendations for marketing project work; retrieve and distribute marketing materials. * Engage directly with students, staff members, current and potential employer partners, faculty, and community remembers to triage inquiries and requests that come through common email inboxes. * Reconcile all Career Services budgets using MyFD, ARIBA, and other UW fiscal tools; maintain and provide recommendations on Career Services reconciling processes and procedures to comply with University policy. * Compose correspondence, printed materials, and/or news releases related to programs, events, and services; edit materials for accuracy, appearance, readability, and style; compile information, edit, and design Career News the weekly newsletter to campus. * Schedule and reserve space for events, appointments, meetings, and programs, as needed. * Support Employer Relations Manager in administration and troubleshooting of Handshake, the job/internship database and on-campus interview application portal; advise on- and off-campus employers how to post positions in Handshake and/or Interfolio. * Provide event support for individual and all-team programs, including bi-annual career fairs, dining etiquette dinner, employer information sessions, and more. * Participate in regular staff and informational meetings, retreats, and training opportunities as part of Career Services, the Division of Student Affairs, the Student Success Center, and the UW Bothell campus. Perform other related duties as assigned. REQUIREMENTS * High school graduation or equivalent AND two years of experience in full time clerical work (administrative support, overseeing and executing office operations) OR equivalent education/experience. * Experience with technology (e.g., web design, Microsoft Office and Outlook, databases and CRMs, and other UW-specific systems) * Demonstrated organizational proficiency and interpersonal skills. Must be able to manage competing priorities and communicate effectively. * Ability to prioritize work based on knowledge of office needs. Ability to work in an organized and professional manner under multiple deadlines and interruptions. * Intermediate experience with personal computer, Microsoft Office Suite (Microsoft Word, Excel, Outlook, and PowerPoint), complex calendar management, and the Internet. * Ability to work respectfully with a diverse constituency. DESIRED * Higher Education Experience, especially working with and on behalf of students. Career Services experience a plus. * Web Design Experience * Working knowledge of University of Washington computer systems, including Kentico web design platform, Handshake database, and/or Interfolio applicant tracking system * Customer Service Experience, especially engaging with a variety of constituents via email correspondence CONDITIONS OF EMPLOYMENT Typically a 20-hour, 3-5-days per week position in a standard office environment. This position is overtime-eligible if work week extends beyond 40 hours. To effectively complete timeline-driven projects and deadlines, a work schedule that fluctuates due to after-hours activities, meetings, and events is common. Evening responsibilities are frequent and weekend hours occur occasionally. When working events, the this position may need to lift/move 50lbs, bend, stoop, work with hands above shoulder level, or climb stairs.
