  • Responsibilities

    Under the supervision of the Assistant Director of Gift Management Services, this position serves as the gift receipts processor for all charitable contributions to Meharry Medical College.  The individual in this positon also makes deposits to the College’s Treasury Services department and prepares raw data for entry into the fundraising management database system – Blackbaud Raiser’s Edge.  Also, assists with the financial feed to the College’s financial accounting system (Banner) by providing accurate input from previous day’s transmittals.  Reconciles Treasury Services receipts to daily gift postings and to the database system.

     

    • Prepares daily collections for transmittal to the Treasurer’s Office. Routes supporting documentation for special receipts/acknowledgement to the appropriate person; Prepares and reviews all gift receipts. Performs data modifications/reversals as necessary in a timely and accurate fashion. Oversee the processing/scanning of donation checks into PaperSave. • Provides for the orderly processing of all cash and non-cash gifts received at the institution, including payroll deductions, and monthly electronic transfers. Posts monthly MEG/Credit Card/Payroll contributions. Monitors, complies and interprets department budgetary and financial items. • Update biographical information in constituent records with a goal of having as complete and accurate constituent records as possible. Assists with reconciliation of gift and pledge data in the College’s fundraising system. Monitors Gift Management Services (GMS) area to ensure proper safety and security measures are taken for confidential donor records. • Review and edit gift records periodically for discrepancies. Administers and coordinates department activities, office services and the work activities of lower level support personnel. Assist with training of all staff that use Raiser’s Edge. Assists in the development and implementation of office procedures and work schedules. • Composes, formats and types department correspondence using PC applications including word processing and spreadsheets. Plans, schedules and facilitates meetings. Acts as liaison with other departments, faculty, staff, students and external organizations and responds to inquiries regarding department policies, procedures and functions. • Performs other related duties as assigned.

    Required Skills

    • Ability to operate 10-key calculator, some bookkeeping/accounting knowledge
    • Excellent communications skills, both oral and written
    • Computer skills with data entry, spreadsheets, and graphics if applicable;
    • Excellent organizational and time management skills
    • Comprehensive knowledge of institutional policies, procedures and organization structure.
    • Demonstrated knowledge of office proficiency in various PC based applications including word processing and spreadsheets.
    • Effective verbal and written communication skills. Strong composition and editing skills.  Working knowledge of accounting principles and procedures including budgetary processes.
    • Sufficient supervisory and training skills to work with assigned staff.
    • Demonstrated interpersonal skills necessary to establish and maintain effective working relationships with internal and external contacts

    Required Experience

    Bachelor's Degree from an accredited college or university with a minimum of four (4) years of related experience is required.  A minimum of eight (8) years of related work experience will be accepted in lieu of degree
