    Administrative Assistant to the Learning Opportunities Center

    Department: Tomnitz Family Learning Opportunities Center

    FLSA: Full-time, Non-Exempt

    Reports to: Director of the Learning Opportunities Center

    POSITION SUMMARY:

    The Administrative Assistant provides administrative support to the Director and staff of the Learning Opportunities Center (LOC). The person in this position is responsible for implementing the ADA accommodations in the LOC, such as coordinating note-takers, proctoring alternative testing, obtaining electronic texts, maintaining documentation, and communicating with faculty regarding the needs of students. Furthermore, this individual will be responsible for coordinating the LDP and CTP applications, communicating with prospective students, and organizing site visits.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    The statements below are intended to describe the principal duties of the person or persons assigned to this job. They are not intended to be an exhaustive list of all job duties and responsibilities.

    Provide administrative support for the Director of the Learning Opportunities:

    Implement ADA by coordinating note-takers, proctoring alternative testing, obtaining electronic texts, maintaining documentation, and communicating with faculty and students regarding needs for accommodations;

    Coordinate applications for the Learning Difference Program (LDP) and College Transition Program (CTP);

    Assist with the other programs at the Center: Academic Achievement Program (AAP), Academic Enrichment Program (AEP), and tutoring;

    Schedule appointments, meetings, and maintain calendar for the Director;

    Assist the Director with processing paperwork, Excel spreadsheets, and compiling lists; use Mail Merge to communicate LOC messages to larger constituencies;

    Assist the Director with running the operations of the LOC (budget, Jenzabar data compilation, Accuplacer and Accudemia);

    1. Serve as primary receptionist for visitors and users of the LOC. Duties include:

    Greeting students, faculty, staff, and visitors who enter the office and answering the LOC telephone.

    Resolving customer needs in an efficient, courteous, and professional manner.

    Responding to student inquiries and directing students to appropriate forms, etc.

    Securing the office suite at the end of the day.

    Maintaining the needs for general office functions such as processing mail, receiving and distributing facsimiles, and maintaining paper supply in printers.

    QUALIFICATIONS:

    Education: High School Diploma or equivalent; some college preferred.

    Experience: Previous administrative office experience required. Minimum of 2-3 years of experience preferred.

    Skills:

    Excellent oral, written, and interpersonal communication skills;

    Ability to communicate effectively with a wide constituency, whether in person, over the phone, or electronically;

    Sincere dedication to exceptional customer service;

    Ability to produce high quality, accurate work in a fast-paced environment;

    Ability to multitask and provide attention to detail;

    Ability to organize and prioritize;

    Ability to work as a member of an office team in a professional and friendly manner;

    Experience with and ability to handle sensitive and/or confidential information;

    Proficiency in Microsoft Word, including ability to edit and format large documents and perform mail merges;

    Proficiency in Microsoft Excel;

    Ability to maintain electronic calendars in Microsoft Outlook;

    Knowledge of other Windows-based software and willingness to learn basic operations in Jenzabar and other internal management platforms.

    SUPERVISORY RESPONSIBILITIES:

    This individual may oversee LOC work study positions.

    EQUIPMENT TO BE USED:

    Must be able to operate a personal computer and all of the associated software used at the college. Must be able to operate office machines such as the fax, telephone, and copy machine.

    TYPICAL PHYSICAL DEMANDS:

    Sitting, standing, reaching, and bending. May require light lifting. Requires normal range of hearing and vision.

    WORKING CONDITIONS:

    Climate controlled building in an office setting, 8:00 a.m. to 5:00 pm, including a one-hour lunch from 12:00 to 1:00 each day, some evening and occasional weekend work may be required.
