    Reports to: Associate Dean of Student Success

    POSITION SUMMARY:

    The WCares Program Coordinator and Student Retention Specialist manages the early alert system and interventions with the goal to assist students who struggle academically. Through a combination of coaching and proactive advising, the person in this position helps Westminster students with developing academic survival skills and finding a balance between studying and the other aspects of their life. The Coordinator assists the Associate Dean of Student Success in all retention-related initiatives and promotes the services of the Student Success Center online and on campus.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    The statements below are intended to describe the principal duties of the person or persons assigned to this job. They are not intended to be an exhaustive list of all job duties and responsibilities.

    Manage WCares (the early alert system) for students identified as at risk for attrition. Track and process academic concerns. Follow up with students, faculty, and staff until the issues are solved and the alerts can be closed. Maintain confidential documentation of action plans in the Retention Management System.

    Prepare and lead meetings with the Student Persistence Team and coordinate efforts with the Student Success Team in order to maximize the impact of interventions.

    Conduct academic success meetings with students at risk for attrition. Attend weekly debriefing meetings and Academic Review Board meetings with Dean and students to develop strategies for success.

    Assist Associate Dean of Student Success to track and report outcomes for retention initiatives. Collect and report retention data between offices for the purpose of process improvement and communication exchange.

    Co-develop and update campus policies, procedures, and documentation to improve workflow, which includes early alerts, concussion protocol, campus withdrawals, non-returning student process and iPad bundle return process. Manage exit interviews and make appropriate campus referrals as needed.

    Manage a caseload of students in need for success coaching. Provide advice regarding time management, sleep wellness, study habits, motivation, studying-work balance etc. Guide students with resources and tools for corrective actions.

    Collect information about all the programs and offices at the Student Success Center and forward it to Marketing and IT for posting on the website and social media. Promote the activities of SSC on campus and in social media.

    Assist the Associate Dean of Student Success with other retention and student success projects as needed.

    SUPERVISORY RESPONSIBILITIES:

    Possibly student workers and peer mentors.

    QUALIFICATIONS:

    Master’s degree in Psychology, Education, Counseling, Higher Ed Administration or related area

    1-3 years of working with students as a counselor, adviser, or for a student-centered service.

    KNOWLEDGE, SKILLS, AND ABILITIES:

    Strong ability to learn fast, analyze, apply and explain college-wide policies, procedures, and requirements;

    Demonstrated skills in judgment and decision-making, problem-solving and in assisting students develop these skills as well;

    Strong ability in reasoning and developing original ideas to solve problems;

    Skills and abilities in conflict resolution, exercising sound judgment, tact, cultural sensitivity, and diplomacy;

    Ability to identify and develop appropriate strategies in relation to specific student populations and meet the needs of various groups and individuals;

    Excellent written and verbal communications skills, including active listening;

    Proven tact and diplomacy in working with students, faculty, and campus administration;

    Ability to learn and use proficiently office computer technology, campus administrative and management systems, and learning management systems;

    Ability to learn and use social media and software for brochures, fliers, and presentations;

    Ability to learn how to collect and track data through Excel spreadsheets.

    Proven ability to multi-task. Skill in organizing work and prioritizing tasks to meet deadlines;

    Ability to take appropriate initiative, work independently, and exercise professional judgment;

    Demonstrated referral and liaison skills when students need assistance in areas such as career development, tutoring etc.

    Ability to maintain strict confidentiality.

    EQUIPMENT TO BE USED:

    Must be able to operate the computer and all of the associated software used at the college, and other office machines such as the fax, calculator, telephone.

    TYPICAL PHYSICAL DEMANDS:

    Requires sitting, standing, bending, lifting and reaching. Requires manual dexterity sufficient to operate standard office machines such as computers, fax machine, telephone and other office equipment. Requires normal range of hearing and vision. May require walking to meet with various departments and students. Lifting of up to 30 pounds.

    WORKING CONDITIONS:

    Work is in a typical office setting. Typically an air-conditioned and heated office environment. Occasional weekend and evening work required.
