    Xavier University's Office of the Annual Fund is seeking an Administrative Assistant II to be an integral member of our team and processes. The Administrative Assistant II position’s role is to serve as the first point of contact for visitors to the Alumni Center and to welcomes and assist both internal and external constituents. This person provides principle secretarial and administrative support to two departments; the Office of Alumni Relations and the Office of the Annual Fund. This person will serve as a liaison with donors, alumni, and friends, as well as with various departments throughout the university to provide customer service and administrative support. This position is responsible for providing annual fund reporting, assisting in event planning and follow up, budget administration, donor follow-up, gift preparation, and coordination of departmental activities.

    Responsibilities:

    • Greet and direct visitors to the Alumni Center Provide excellent customer service to internal and external constituents
    • Represent University Relations/Annual Fund at signature university events
    • Answer telephone inquiries, inquiries regarding university relations, and Banner data
    • Assist in scheduling all meeting rooms for the Alumni Center
    • Oversee distribution of parking passes for visitors to the Alumni Center
    • Support Annual Fund and Alumni Staff and serve as office manager for both departments
    • Maintain and monitor Alumni and Annual Fund budgets under directors’ supervision
    • Serve as purchaser for XavierBuy
    • Maintain and reconcile P-Card statements
    • Manage calendar of events
    • Ensure that all office materials and needs are monitored

    Requirements:

    • High School Diploma or Equivalent Required, Associates Degree Preferred
    • 1-2 Years’ experience in like role with similar responsibilities and complexities
    • Excellent Communication Skills
    • Proficient in Microsoft Office and aptitude to learn other software
    • Ability to adapt to changing environment with multiple priorities
