Human Resources Coordinator Administration & Business Operations Dallas, Texas ------------ Description JOB TITLE: HUMAN RESOURCES COORDINATOR REPORTS TO: SENIOR DIRECTOR OF HUMAN RESOURCES DEPARTMENT: HUMAN RESOURCES JOB SUMMARY The human resource coordinator functions as an HR generalist and is responsible for performing HR-related duties. The HR Coordinator works closely with other HR staff and management in supporting designated functional area. Each HR Coordinator will carry out responsibilities in multiple areas either in a primary, shared or back-up capacity in any of the following categories: payroll, benefits administration, wellness, onboarding, recruiting/talent management, employee engagement, training or technical. PRIMARY DUTIES AND RESPONSIBILITIES General Responsibilities Ensure employees are provided strong customer service: researching, resolving issues and responding to inquiries in a courteous, professional manner. Assist with preparation of required department reporting for company compliance. Coordinate and conduct bi-weekly onboarding activities for new and rehires. Talent Management Responsibilities Ensure job descriptions are updated prior to postings and keep accurate electronic records of most recent job descriptions. Serve as recruiter within the talent acquisition software and shepherd candidates and hiring managers through the recruitment process. Monitor requisitions, candidates and hiring manager activities throughout hiring process. Facilitate offer letter generation within talent acquisition software. Technical Responsibilities Ensure hiring managers are appropriately utilizing the talent acquisition software and understand how to create a job requisitions and manage candidates throughout the hiring process. Ensure supervisors and appropriately utilizing ExponentHR. Facilitate design, process and deploy new hire, annual and mid-year performance management evaluations utilizing Halogen. Communicate with various software vendors and/or website sources (JobVite, Halogen, ExponentHR, UHC, MetLife, Rally) regarding technical issues. Investigate issues on behalf of employees and/or employer and request assistance from vendor when necessary. Training Responsibilities Create, publish and conduct various training sessions for employees and supervisors on topics including but not limited to timesheet approval, talent acquisition software, payroll software, performance management software, application of employee benefits (FMLA, ADAAA, WC). Conduct various sections of new hire onboarding as needed. Assist with departmental projects and administrative duties as assigned. SHARED AND BACK-UP DUTIES AND RESPONSIBILITIES Employee Engagement Responsibilities Facilitate employee engagement survey creation, deployment and analysis both in-house and through outside vendor. Plan, coordinate and schedule various employee engagement centric events. Conduct exit interviews with all voluntarily terminated employees. Serve as liaison with all non-supervisor employees in regard to employee engagement which may include one-on-one re-recruiting meetings. Facilitate programs to encourage employee recognition throughout the Zoo. Assist with program development and facilitate focus on strategic initiatives related to improving organizational culture. Payroll Responsibilities Ensures bi-weekly payroll in ExponentHR is processed and submitted in a timely and accurate manner. Maintain accurate support documentation for all transactions. Provide appropriate oversight of HR Assistant and generate appropriate final reports. Ensure appropriate changes to employee data are made in ExponentHR within appropriate timeframes; maintaining accurate records Benefit Administration Responsibilities Proactively resolve and answer employee questions related to group benefits. Responsible for internal administration of all group benefit plans including medical, dental, vision, life, AD&D, short-term and long-term disability. Internal administration includes facilitating enrollment and termination of coverage, COBRA administrator notification. Facilitate correspondence related to Workers Compensation, FMLA, ADAAA and short-term or long-term disability. Ensure timely return/completion of paperwork. Ensure appropriate action related to payroll (if any) is taken. Assist with the administration of the companys retirement plans. Responsible for assisting employees with online enrollment. Assist with plan audit, distributions, reporting and changes. Coordinate annual or semi-annual education and one-on-one sessions with VisionPoint (Financial Advisors). Participate in plan administration meetings with Health and Welfare benefits broker. Coordinate/Facilitate open enrollment meetings and education with Health and Welfare benefits broker. Encourage employee participation in Health Insurance Programs (HIP) and gamification module (Rally). Facilitate communication efforts and meetings focused on increasing participation. QUALIFICATIONS Bachelors degree required or commensurate direct human resources experience in lieu of degree Two to three years HR Assistant experience required Technical HR software such as HRIS, ATS/TAS strongly preferred Payroll processing experience a plus Strong customer service and interpersonal skills. Utmost respect for confidentiality and ability to exercise good judgment when handling sensitive information. Excellent attention to detail with demonstrated accuracy and thoroughness of work. Ability to be organized and multi-task within timelines. Ability to communicate clearly orally and in writing, and edit work for spelling and grammar, and present numerical data effectively. Ability to work with individuals of diverse backgrounds and ages. Requires a positive attitude and strong work ethic with the desire to work as a team member. Must be proficient in Microsoft Office (Word, Excel, and PowerPoint).
