    SUMMARY:

    The Engineering Office Coordinator’s primary responsibility is to organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for maintaining intra-office communication protocols, streamlining administrative procedures, inventory control, Engineering staff task delegation.

    Energetic professional who can execute/administer multiple tasks. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

    NATURE AND SCOPE:

    • The incumbent reports directly to the Director of Engineering. The major trust of the position is to maintain company assets in excellent operating order.

    DUTIES AND RESPONSIBILITIES:

    • Supports company operations by maintaining office systems and processes
    • Point person for maintenance, mailing, shipping, supplies, equipment, invoices
    • Coordinate, organize, schedule meetings, appointments and work-related tasks with employees/vendors
    • Partner with Director of Engineering to maintain office policies as necessary
    • Maintains office services by organizing office operations and procedures, preparing payroll, controlling correspondence, maintains filing systems
    • Manage relationships with vendors, service providers ensuring that all items are invoiced and paid on time
    • Manage contract and price negotiations with office vendors, service providers as directed
    • Provide general support to visitors
    • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are maintained, supply requisitions are reviewed and processed for approval
    • Ensure filing systems are maintained and current
    • Follow Club policy for department purchases
    • Ensure security, integrity and confidentiality of data
    • Communicate procedural and policy changes to improve operational efficiency
    • Assist in preparing department operational reports and schedules to ensure department efficiency
    • Coordinate schedules, appointments and bookings
    • Monitor and maintain office/department supplies and tool inventory
    • Handle customer inquiries and complaints
    • Sources engineering products and services
    • Enter/processes supply requisitions, monitoring order status for delivery to meet timeline
    • Maintains office efficiency by planning, organizing and procurement.
    • Completes operational requirements by scheduling and assigning employees, following up on work results.
    • Keeps management informed by reviewing and analyzing reports; summarizing information; identifying trends.
    • Maintain work areas clean and orderly including storage rooms and the Engineering Dept. work area
    • Ensure uniform and personal appearances are clean and professional; maintain personal hygiene, cleanliness throughout work shift
    • Consults with the Director of Engineering on work-related tasks, tools etc. needed to perform required tasks

    • Follow all company and safety and security policies and procedures.
    • Maintain confidentiality of proprietary information, and protect company assets
    • Interact positively with members/guests; smile, eye contact, offer assistance

    • Maintain work area clean and orderly; clean spills, protect furniture, rugs etc. of work debris
    • Inspect Club areas report work/repairs needed as deemed necessary
    • Remain calm and alert, especially during emergency and critical operational work periods
    • Contributes to team effort by accomplishing related results as needed.

    MINIMUM QUALIFICATIONS:

    • High school diploma or GED or equivalent is required
    • Two to three years’ experience in an Engineering office setting is preferred
    • Proficient with office software, i.e. Word/Excel
