    Job Summary:

    The purpose of this job is to support the Administrative Services Manager in the daily operations of the Administrative Services Department.

    Essential Duties and Responsibilities:

    The following duties are normal for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

    Verifying invoices to work orders and receipts,

    Monitoring GLC fleet, handling pool vehicle requests,

    Gathering information from vehicle accidents, conducting inventories, assisting in the Administrative Services areas, and maintaining various logs and records.

    Assisting with courier, transportation, and maintenance requests for GLC Headquarters.

    Performs asset tagging of GLC furniture and fixtures.

    Assists with business-related driving and courier assignments as needed.

    Monitors light bulb inventories and submits orders for approval. Processes bulb orders for Headquarters and District offices.

    Inspects and recommends repairs and/or maintenance of GLC equipment. This includes copier, fax, mail processing, exercise equipment, etc.

    Ensures that in-coming and out-going company mail is processed and delivered correctly and on a timely basis.

    Ensures all copy jobs are completed according to requests in a timely manner.

    Ensures conference and meeting rooms are set up as requested.

    Monitors stocking of office supplies associated with office machinery.

    Routinely monitors GLC break room areas; recommends and /or handles cleaning and maintenance of related equipment. Monitors break room supplies and processes requests for break room supplies.

    Assists with Records Retention filing, storage, logging, etc., in accordance with GLC Policy and Procedures.

    Assists all GLC operational areas with Maintenance of assigned storage areas, both secured and unsecured.

    Assists in the Administrative Services office duties. This includes performing assigned tasks in all areas of the department, as required.

    Performs administrative duties in other departments as needed.

    Greets guests, retailers, winners, players, vendors etc. in the reception area at the GLC headquarters and notifies appropriate staff of guest arrival.

    Answers incoming calls received from GLC switchboard.

    Routes calls to internal employees.

    Maintains records of office supply orders; places and receives orders; verifies invoices against orders received; initiates payment to vendor.

    Collects HQ and district office copier meter readings and submit to corresponding vendor via internet.

    Assists Executive staff with maintenance and upkeep of their company vehicles.

    Maintains spreadsheet and logs for all departmental invoices.

    Coordinates customers’ requests for building and vehicle maintenance. This includes follow up to ensure that maintenance was completed to the Georgia Lottery Corporation’s high standards.

    Assists with writing and updating the Operational Procedures for this position.

    Assists, as needed, with maintaining company fleet vehicles and mileage logs, in accordance with GLC Policies and Procedures.

    Position Requirements:

    High School Diploma or GED Required.

    Two (2) years of experience providing support in a business office environment required.

    Must possess excellent customer service skills, strong organizational skills, good verbal and written communication and computer skills (Word and Excel).

    Basic mechanical aptitude and experience with contracted equipment and/or vehicle maintenance preferred.

    Must be able to routinely lift and carry moderately heavy (up to 50 lbs.) material and supplies, possess a valid state of Georgia driver’s license and a satisfactory motor vehicle record.

    Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job may be substituted for required experience
